Responsibilities

Provides administrative support such as: receiving and distributing packages, coordinates shipping and couriers, maintain calendars, print documents, and answer phone calls.

Assists the Office Manager with scheduling and coordinating office meetings/events and internal/external social gatherings or functions. Coordination of these functions can include sending out invites, studio furniture set-up and office tours.

Assists in ordering/coordinating office supplies, groceries, stationery, and personal care items. Assists with keeping kitchens clean, stocked, and organized.

Maintains professional appearance of office reception area, conference rooms, and common areas.

Schedules and coordinates logistics for Lunch & Learns with reps.

Helps with organizing and maintaining the Resource Library with stocked material and samples.

Provides administrative support to various practice areas, including document preparation, drafting contracts and filing.

Provides ad-hoc support.

Liaison to Building Management and Parking.

Additional administrative duties and tasks assigned.

Mentors staff.

Coordinates effectively with partners and consultants.

Education & Experience

Bachelor’s Degree preferred but not required

Notary public preferred (US Only)

PROFICIENCIES

Effective verbal, written communication and organizational skills

Strong attention to detail and excellent time management skills

Proven ability to execute tasks and able to work independently

Flexible, high service orientation, and a quick learner

SOFTWARE

Knowledge of Microsoft Outlook, Word, Excel, Power Point
