Under the direct supervision of the Clinic Director, the Office Coordinator will oversee support staff, perform a variety of administrative tasks, assist in business functions, and serve as a steward of front desk operations by ensuring processes are handled professionally, efficiently, and in line with organizational values and policies, such as confidentiality and HIPAA compliance.
Responsibilities
Oversee the smooth operation of the front desk and clinic workflow
Guide individuals through medication assistance programs
Obtain and update financial and demographic information from clients
Provide basic counseling on billing matters and serve as petty cash custodian
Fulfill Safety Officer duties, ensuring compliance with clinic safety protocols
Reconcile lab billing with local medical centers
Schedule appointments and manage calendar systems
Answer phone calls and route communication appropriately
Fax documents, obtain Release of Information (ROI) forms, and request discharge documentation from hospitals
Maintain and track inventory of clinic supplies
Purchase supplies and equipment as needed for clinic operations with Clinic Director’s approval
Coordinate use and maintenance of company vehicles
Manage the AVAIL log for the clinic
Oversee routine audits of provider appointments
Qualifications
You’ll definitely need:
High School Diploma/GED
A valid Texas State Driver’s License
Current automobile insurance and the ability to travel
Bilingual:
English/Spanish preferred
We’ll also want you to:
Serve as alternate custodian when needed
Provide physical coverage of the reception area
Assist clinicians with appointment preparation and support
Perform data entry and general typing assignments
Complete audits related to caseloads
Conduct and record vital signs
Make reminder calls for upcoming appointments
