Overview
We are seeking a highly organized and proactive Executive Administrative Assistant to support our executive team. The ideal candidate will possess exceptional communication skills and a strong ability to manage multiple tasks efficiently. This role is pivotal in ensuring smooth operations within our office, providing high-level administrative support, and enhancing the productivity of our executives.

Duties

Manage executive schedules, including coordinating meetings and appointments using Outlook Calendar.
Prepare and transcribe meeting minutes, ensuring accurate documentation of discussions and action items.
Organize and maintain files, documents, and records for easy retrieval and reference.
Assist in event planning, coordinating logistics for meetings, conferences, and company events.
Provide excellent customer service by responding to inquiries and managing communications with clients and stakeholders.
Utilize Google Suite for document creation, data management, and collaborative projects.
Proofread documents for accuracy and clarity before distribution.
Support office management tasks including inventory management, supply ordering, and maintaining a clean work environment.
Perform additional administrative tasks as required to support the executive team.

Skills

Strong customer service orientation with the ability to interact professionally with diverse individuals.
Proficient in office management practices and procedures.
Advanced knowledge of Outlook Calendar for scheduling and time management.
Ability to transcribe notes accurately from meetings or discussions.
Proficient in Google Suite applications (Docs, Sheets, Drive) for efficient document handling.
High level of computer literacy with the ability to learn new software quickly.
Strong administrative skills with attention to detail in all tasks performed.
Excellent typing skills with a focus on speed and accuracy.
Experience in event planning is a plus, demonstrating organizational skills in managing logistics effectively.
Strong proofreading abilities to ensure high-quality documentation.
