Position Summary

The Office Coordinator serves as a central point of contact for clients and visitors, ensuring a welcoming and efficient office environment. This role is responsible for managing client communications, greeting guests, supporting company events, collaborating with vendors, and providing comprehensive administrative support across the organization.

Core Responsibilities

  • Warmly greet and assist visitors, ensuring a positive client and guest experience.
  • Receive, process, and distribute incoming communications and correspondence.
  • Field, direct, and manage incoming telephone calls promptly and professionally.
  • Organize and coordinate meetings, appointments, and travel logistics, including calendar management.
  • Prepare and track expense reports and assist with external vendor relationships.
  • Maintain organized office operations by monitoring and restocking supplies, working with service providers to ensure equipment is fully operational, and managing deliveries.
  • Coordinate catering and materials for office meetings and company events.
  • Develop and update spreadsheets and presentations for business use.
  • Assist professionals with preparing client-facing materials and handling confidential information with discretion.
  • Support the implementation and utilization of software platforms across the company.
  • Complete ad-hoc projects that contribute to exceptional client service and seamless office operations.

Qualifications & Skills

  • Proficiency in Microsoft Excel, PowerPoint, Word, and Outlook is required.
  • Excellent verbal and written communication skills, with strong customer service orientation.
  • Exceptional attention to detail, organizational acumen, and the ability to manage multiple priorities efficiently.
  • Demonstrated ability to work both independently and collaboratively as part of a team.
  • Professionalism and dependability, including consistent punctuality and appropriate business attire.
  • Experience handling confidential material with integrity and discretion.
  • Minimum of 1–2 years in an administrative, front desk, or operational support role preferred.
  • Bachelor’s degree preferred.
