Job Overview

A leading global private investment firm is seeking a proactive Office Coordinator for its Dublin office. 2. Key Responsibilities

  • Facilities Coordination: Oversee daily office maintenance, vendor coordination (e.g., cleaning, repairs), and ensure a safe, tidy, welcoming workspace.

  • Guest Services: Greet visitors, manage arrivals/departures, provide orientations, and handle meeting room setups with a professional, hospitable approach.

  • Office Supplies Management: Monitor stock levels for pantry, stationery, printing, and equipment; place orders and maintain budgets.

  • Light PA Support: Assist teams with scheduling, travel bookings, expense tracking, and ad-hoc administrative tasks as needed.

  • Reception & Admin: Answer calls/emails, distribute mail/parcels, update office calendars, and support events/catering.

  • Health & Safety: Maintain compliance with office protocols, including fire safety and hygiene standards.

3. Requirements

  • 2+ years in office coordination, facilities, or receptionist roles, ideally in finance/professional services.

  • Excellent communication and interpersonal skills; polished presence for client/guest interactions.

  • Strong organizational skills with proficiency in Microsoft Office, Outlook, and basic procurement tools.

  • Proactive problem-solver with a positive, flexible attitude; ability to multitask in a dynamic setting.

  • Familiarity with Dublin office regulations a plus; right to work in Ireland required.
