About The Role
Makespace is looking for a highly organised, experienced and proactive Office Coordinator to support our leadership team and play a key role in keeping our office and projects running seamlessly. This is a varied, hands-on role at the centre of a growing, design-led business, ideal for someone who thrives in a fast-paced environment and takes pride in bringing structure, clarity and efficiency to day-to-day operations.
This role works closely with the Managing Director, Design Director and Operations Manager, assisting with day-to-day administration, document management, invoicing support and assisting in project coordination.
This is a part-time role (approximately 30 hours per week, with potential to grow as the business expands), based out of our Ponsonby office, offering flexible work arrangements to balance your professional and personal commitments.
Key responsibilities include:
- Supporting the leadership team with day-to-day administrative tasks
- Managing digital filing systems and project documentation
- Receiving and entering supplier invoices and bills for approval
- Assisting with procurement and supplier coordination
- Supporting project scheduling and internal communications
What we're looking for:
- Highly organised with strong attention to detail
- Comfortable managing multiple tasks and priorities
- Strong communication and administrative skills
- Confident using standard office software (Google Workspace, Excel etc.)
- Experience in construction, architecture or property would be beneficial but is not essential.
