SUMMARY: Provide administrative support to the Executive Director – Office of Advancement Deputy Executive Director, Office of Advancement, and Director of Advancement Services to ensure the best use of their time toward the goals of the NRA, while enhancing the operation and reputation of the office. Manage a high volume of work that is both deadline-sensitive and confidential. Extensive contact with Officers, Board members, high profile/VIP contacts, staff, NRA members, and affiliated organizations.
ESSENTIAL RESPONSIBILITIES AND DUTIES:
1. Support the operations of the Office of Advancement. Maintain effective working relationships through the timely communication of accurate information with Executive Director, Deputy Director, Advancement team members, NRA staff, NRA Officers, members of the Board of Directors, NRA members and other affiliated organizations. Provide valuable input to the information flow whenever possible, to improve efficiency and productivity.
2. Manage calendars, daily schedules, files, travel arrangements, etc. for supervisors listed above to ensure efficient management of time and recovery of required information. Ensure that the Executive Director and Deputy Executive Director have all relevant materials prior to meetings, whether internal, external or while on travel.
3. Assist in preparations for meetings for the Board of Directors, and Annual Meetings, including coordinating packets, and boxing and delivering materials as needed.
4. Under the guidance and direction of the Executive Director and Deputy Executive Director serve as the administrative liaison and support for the NRA Board of Directors Officers and selected members, and the NRA Foundation Board of Directors, who are involved in fundraising to provide donor/prospect interaction and meeting coordination and planning.
5. Coordinate, edit, proofread, and finalize error-free correspondence for the Executive Director and Deputy Executive Director’s signature. Route mail and internal correspondence to the appropriate divisions and follow-up on correspondence and task assignments.
6. Responsible for coordinating weekly call/acknowledgement lists for Executive Director, Deputy Executive Director, and Executive Vice President to ensure major donors receive personalized thank you notes and phone callas as appropriate. This will be accomplished by utilizing weekly gift reports.
7. Support Executive Director, Deputy Executive Director and Director of Advancement Services with administrative tasks.
8. Responsible for coordinating staff meetings as directed by the Executive Director and/or Deputy Executive Director.
9. Responsible for coordinating Advancement Staff training meetings to include speakers’ schedule, room selection, meals, supplies, AV, etc. to ensure a successful training environment.
10. Working with the Director of Advancement Services, coordinate onboarding of new employees to include training schedule, hotel and travel arrangements.
11. Perform other duties and projects at the direction of the Executive Director, Deputy Executive Director and Director of Advancement Services.
EDUCATION, EXPERIENCE, KNOWLEDGE, SKILLS AND ABILITIES:
Required:
A passion for the mission of the NRA.
Personal and professional integrity.
Minimum of seven years’ experience with at least three years in an administrative role of considerable responsibility in a fast-paced executive office environment.
Ability to work quickly and effectively in a fast-paced, pressured environment with frequent interruptions resulting in the need to reprioritize tasks while maintaining high quality.
Organized and able to help others organize follow-up and complete tasks.
Able to multi-task.
Highly proficient in MS Office applications, to include Word, Excel, PowerPoint and Outlook, and to learn additional programs as needed to increase efficiency.
Flexible, adaptable, and able to work beyond normal working hours with short/no notice.
Finely honed diplomatic and interpersonal skills.
Strong oral/written communication skills.
Excellent writing, proofreading and formatting proficiencies.
Discretion, tact and sound professional judgment.
Able to work well independently and as a team member.
Able to come to independent decisions that effect smooth operations.
Able to maintain strict confidentiality.
Preferred:
Two- or four-year college degree.
Knowledge of NRA and fundraising.
Able to travel as required.
