Overview of School

Granada Preparatory School (GPS), located in Northridge, CA, is a Preschool through 8th Grade Independent School with one class per grade level. GPS is an authorized International Baccalaureate World School and is accredited by WASC. GPS places much emphasis on the arts, a strong sense of community, responsibility, personal growth, and balance. We are looking for an experienced Administrative Assistant for our school office.

Overview of the Position

Minimum starting salary is $23/hour, which may vary depending upon training and experience. As a full-time position, benefits include health insurance, paid holidays and vacation. The Administrative Assistant position is full-time, 12 months per year.

This is a job that is a mix of variety and routine. Both flexibility and organization are needed. The Administrative Assistant is responsible for assisting all administrators and running the Main Office of a small independent school. The Admin. Asst. is often the first point of contact for our parents and prospective parents, and therefore must have good customer service skills and a positive attitude. In addition to administrative tasks, the Admin. Asst. will use basic first aid skills to assist sick or injured students.

Skills and knowledge needed include, but are not limited to:

Computer/typing at least 40 wpm.
Good basic math skills.
Excellent writing and editing/proofreading skills to be used in the production of general announcements, handbooks, enrollment contract updates, formal letters, etc.
MS Word and MS Excel skills, including a familiarity with creating data bases with basic formulas, mail merge, tables, images.
Willingness and ability to learn education-based software (Student Information Systems).
Familiarity with Google Forms, Drive, G-mail, Google Calendar, or similar.
Willingness to learn how to set up email users and groups in Google.
Good phone etiquette.
Ability to maintain confidentiality of student, family, and staff information.
Use of photocopier/scanner and oversee maintenance.
Willingness to research and learn new procedures.
Annual first aid/CPR training will be required.

Duties include, but are not limited to:

Answer all incoming phone calls; sort mail.
Maintain various data bases of student, family, and staff information.
Issue enrollment contracts and related material, and annually update same.
Maintain cumulative files for all students.
Proofread, distribute, and archive report cards, and send transcripts as requested.
Track student vaccination status and follow up as necessary.
Assist sick or injured students with basic first aid and advise parents.
Maintain office supplies and order as needed.
Organize and order all classroom supplies and textbooks as approved by administration.
Assist in creating annual school calendar and then publish it to parents and staff.
Create “Daily Bulletin” every school day.
Contact Maintenance as needed for routine and emergency facility issues.
Set up daily hot lunches that are provided by outside vendor.
Create awards and certificates throughout the school year.
During summer, assist with summer camp registration and prepare for the coming school year.

Experience and education needed:

5 years of progressively more responsible experience as an administrative assistant, preferably in an educational setting.
BA/BS minimum
