JOB SUMMARY:
ESSENTIAL JOB FUNCTIONS
Duties Include, but not limited to:
Human Resources:
· Talent acquisition – includes recruitment, processing, on-boarding and development of new staff.
· Policy and Procedures – write and maintain Policies & Procedures (P&P), review triennially, except HIPAA review annually.
· Current staff – Maintain all staff files, track staff performance, and coordinate yearly reviews.
· Lead internal meetings – provide meeting agenda and detailed minutes.
· Submit payroll
Key Performance Indicators:
1. Develop a process to manage and track new talent (i.e., Waterfall Chart)
2. Develop organizational chart to review P&P triennially (HIPAA annually)
a. Review 10% of policies monthly.
b. Coordinate with President and/or COO to sign-off.
Project Management:
· Coordinate large-scale meetings where several calendars have limited availability; may require polls.
· Coordinate new client implementation meetings and facilitate access requests for all team members.
Business Development:
· The Part-Time Office Manager will handle web inquiries for client services, complete intake forms, schedule meetings between potential clients and the president, and manage client information in the CRM.
Other:
· Works with the Leadership team to assist with special tasks and projects.
· Create quarterly newsletters.
· Develops, creates, and/or research new policies, technologies, organizational tools, etc.

As other duties are assigned.
JOB QUALIFICATIONS
Education
Minimum 2 years post-secondary education in business/office management. Bachelor’s degree preferred.
Experience
The ideal candidate will be proficient in using Microsoft Office Suite, including Teams, OneDrive, Excel, Word, PowerPoint, Outlook, and Payroll software. Outstanding skills in organization and time management. Exceptional skills in communication. Ability to work under pressure, manage and direct people, work independently and work within a group.
Preferred Experience: Knowledge of medical registries (such as bariatric or cardiology), medical terminology and human resources.

Working Conditions
The Office Manager works in a remote environment using standard office equipment.
Personal Attributes Required
Occasionally work weekends and evenings. Some travel and overnight stays may be necessary.
