Position and Responsibilities
Managing incoming correspondence (phone, email, etc.) with attention to detail and accuracy
Day-to-day management of calendars; appointment scheduling and coordination of all logistics
Calendar management of all meetings, ensuring conference room availability and security entry for attendees
Management of all expenses, providing proper documentation and accurate records for reimbursement and general procedures
Answer incoming calls and redirect them or keep messages
Maintaining all professional and personal files including all active online accounts and subscriptions (login’s and passwords)
Assistance with a variety of professional and personal ad-hoc requests on a regular basis
Answering questions and addressing complaints
Prepare outgoing mail by drafting correspondence, securing parcels etc.
Check, sort and forward emails
Cover front desk as and when needed
Monitor IT office supplies and place orders when necessary
Keep updated records and files
Monitor and track ongoing IT expenses and costs, inventory and records
Assist in the production of Audit related documentation, such as user recertification lists.
Handle many Level1 Help Desk requests (password resets for example)
Assist with the new user creation process
Provides some basic network administration such as: creation of new user accounts, add users to groups and reset passwords.
Complete cellphone Quarterly Audits
Assist in IT vendor management
Assist with new employee orientation in Newport
Assist with employee moves
Qualifications
Bachelor’s degree preferred
Preferred 2-5 years of relevant experience
Strong scheduling and calendar coordination skills
Strong proficiency in MS Office Outlook, Word, PowerPoint and Excel
Strong proficiency in Adobe PDF
Ideal, experience with Cisco Phones or technology advanced
Concur knowledge a plus
Excellent organizational planning and problem solving skills
Demonstrated strong interpersonal skills to build relationships Executive and Board Members
Strong communication skills both written and spoken
Strong sense of urgency self-motivated, reliable and resourceful
Good organizational and multi-tasking abilities
Problem solving skills
Customer service orientation
Proven experience as front desk representative
Travel to other business locations may be required
Compensation
Compensation will be commensurate with experience and capabilities. We offer structures that include base and bonus depending on the candidate, as well as a full benefits package.
