West Cancer Foundation is seeking a full-time Executive Assistant to provide comprehensive administrative support to the President. This role involves managing day-to-day operations and handling a variety of clerical and organizational tasks. The ideal candidate is self-motivated, detail-oriented, and passionate about our mission at WCF. They should be community-minded and possess strong communication and organizational skills, as well as the ability to convey compassion. Success in this role requires a strong commitment to making a direct impact on the community and improving health outcomes in alignment with our mission.
Pay range: $55,000 – $60,000 / year
Essential Duties and Responsibilities
Provide full administrative support to the President.
Coordinate with On Brand Communications on assigned marketing tasks.
Enter and manage donor information in Virtuous, WCF’s Constituent Relationship Management (CRM) database.
Assist the President with donor stewardship tasks as outlined in Virtuous.
Prepare and maintain quarterly reports on lapsed donors for the President.
Organize and maintain organizational files and documents.
Qualify participants for outreach programs in accordance with WCF guidelines, IRS nonprofit regulations, and Medicare/Medicaid requirements.
Ensure proper storage and organization of financial, governance, development, and insurance documents in the shared drive.
Plan, schedule, and coordinate meetings for the Board of Directors, YPAB, Executive Committee, and Sub-Committees.
Manage AV equipment and presentations for meetings.
Collaborate with the President and marketing team to recognize and appreciate volunteers.
Support and attend all fundraising activities and events.
Assist with donor communications, including appeal letters and thank-you notes.
Manage the President’s calendar and schedule appointments.
Organize and prepare agendas for regular staff meetings.
Perform additional duties as assigned.
Minimum Qualifications
At least three years of administrative experience in a health-related and/or nonprofit field.
Proven success in building relationships with diverse groups, including volunteers.
Strong attention to detail and organizational skills.
Excellent oral and written communication skills.
Ability to work independently and manage multiple priorities simultaneously.
Outstanding customer service skills with the ability to establish rapport with program participants from various backgrounds.
Proficiency in Microsoft Office Suite (Outlook, Word, Excel, etc.).
Ability to quickly learn new applications and programs.
Preferred Qualifications
Bilingual in English and Spanish.
Experience working with nonprofit Constituent Relationship Management (CRM) software.
Experience planning and executing nonprofit events (e.g., galas, athletic events, year-end campaigns, corporate giving programs).
Background in community outreach programs for the uninsured and underinsured.
Knowledge of Federal Poverty Level Guidelines and eligibility requirements for Medicare and Medicaid.
Familiarity with AirTable or other task and team management cloud-based platforms.
Work Environment, Physical Demands, and Travel
Standard office environment with moderate noise levels.
Flexible schedule, including occasional evenings and weekends.
Valid driver’s license and reliable transportation required.
Ability to stand, walk, reach, climb, balance, stoop, crouch, talk, see, and hear for extended periods.
Ability to lift up to 50 lbs.
Fast-paced work environment requiring adaptability.

Ability to work effectively both independently and as part of a team.
