JOB SUMMARY:The Office Coordinator will manage the day-to-day administrative activities at the Child Development Center (CDC) such as scheduling, answering phone calls, creating correspondences, maintaining multiple calendars, procurement, managing student data and school transportation as well as supporting the direct needs of the Sr. Program Manager and performing clerical duties for the Program Manager as needed. The Office Coordinator promotes a healthy, positive, safe, stimulating, and structured school environment for students with disabilities.
ESSENTIAL DUTIES and RESPONSIBILITIES:
Organizes office operations and procedures to include managing vendor contracts and food services for the school, creating correspondences, spreadsheets, and presentations, designing, implementing and maintaining the CDC’s filing system(s); and reviewing and approving supply requisitions.
Manages the Sr. Program Manager daily schedules/calendars as well as the CDC’s events calendar, roster, census, and parental contact information.
Acts as back-up to the building Receptionist and FERC when required.
Works with the Fleet Manager regarding scheduling vehicle maintenance for assigned CDC vehicles and building.
Utilizes a variety of systems to manage student data and/or program needs: Recologic, SEATS, Quickbase, TOTE, SEDS, etc.
Prepares student/parent information packets and letters, as needed, for pick up and/or mailing.
Manages daily student attendance, which includes:
a. Creates and maintains daily attendance binder, staff meeting and professional development agenda binder, and parental notifications binder, as well as others as needed for each School Year (SY).
b. Makes daily phone calls to guardians to determine the cause for a student’s absence. Reminding guardians to provide an excuse note for the student’s absence upon their return to school.
