We are a fast-paced event company seeking a highly organized and resourceful Office Administrator to be the glue that holds our office together.
This role is perfect for someone who thrives in a dynamic environment and enjoys taking ownership of day-to-day operations.
You will be the go-to person for everything from keeping our workspace tidy and troubleshooting technical hiccups to managing files and assisting our team with various projects.
You must have a proactive approach, strong organizational skills, and a desire to learn and contribute to the success of our events.
This role coordinates and/or supports all events planned, with various levels of complexity. This is a high-volume environment where work productivity, efficiency, and effective communication skills are a must.
Essential Job Functions
Maintain a clean, organized, and welcoming office environment.
Manage and order office supplies, ensuring adequate stock.
Handle incoming and outgoing mail and packages.
Troubleshoot office equipment issues (e.g., printers, internet connectivity).
Oversee basic office maintenance and repairs.
Handle Warehouse logistics and inventory as assigned.
Run errands as necessary.
Support different project managers on administrative tasks to ensure project success.
Assist with data entry, file organization, and record keeping.
Assist with scheduling, meeting notes, and agenda preparation.
Support project leads with tasks related to each event as assigned (administrative components).
Assistance on-site at events to fulfill day-of support roles as needed.
Administrative assistance on-site at events such as parking, collateral, event ordering, etc.
Minimum Qualifications
Higher education or related work experience.
Proven ability to manage day-to-day office operations.
Detail-oriented, with strong organizational skills to manage a continuous workflow in a high volume, multi-tasking environment.
Strong communication and interpersonal skills.
A proactive and resourceful approach with a strong work ethic and problem-solving skills.
A desire to contribute to a positive and productive team environment.
Ability to handle stress and stay organized, focused, and customer service oriented when faced with multiple deadlines.
Maintain a reliable and punctual manner with clients and internal team.
Proficient in Canva, Google Suite (Gmail, Docs, Sheets, Drive) and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint, OneDrive).
Desired Qualifications
1-2 years of event/entertainment industry experience.
Adobe Creative Suite experience.
Desire to grow within the field/position.
Work Environment
● Tuesday, Wednesday, Thursday: 9AM-5PM in-office
● Nights, Mornings, and Weekends as event schedule required.
Job Requirements
● Legal Driver’s License and background check required.
● Must be willing to work a flexible schedule as determined by business volume.
Job Type: Part-time
Pay: $22.00 – $30.00 per hour
Expected hours: 24 per week
Schedule:
8 hour shift
Weekends as needed
