We are looking for someone who will start their career path as an Administrative Assistant. The Administrative Assistant will execute all operational and administrative functions while maintaining the highest personal and professional standards and conduct. A successful candidate will have demonstrated recent experience providing administrative support for one or more executives or senior leadership.

Responsibilities

Completes critical aspects of deliverables with a hands-on approach, including drafting engagement letters, personal correspondence, and other tasks.
Prepares and ensures the accuracy of various materials (correspondence, memos, confidential documents, policies, procedures, reports, charts, etc.) per department procedures.
Produces and proofreads various complex business documents, including some that are high priority and/or confidential.
Saves and stores documents and projects assigned to the appropriate device, system, network, and/or cloud storage area as applicable.
Reviews and edits outgoing correspondence for format, typographical and grammatical accuracy, and conformance with procedures.
Manages the day-to-day operational and administrative activities of Directors by scheduling meetings and monitoring calendars, organizing the incoming flow of work, prioritizing requests, proactively preparing meeting agendas and materials, and following up to ensure timely responses.
Answers phone calls and directs callers to appropriate personnel, schedules appointments, signs for incoming packages, and assists clients and other visitors.
Inputs and updates information in databases and spreadsheets.
Formatting audit reports to conform with regulatory and firm standards.
General administrative support to all departments upon request.

Qualifications

Strong Proficiency in Microsoft Office, including Word, Excel, Outlook, PowerPoint, etc.
Proficiency in ProFx software is a plus.
Superior organizational and time management skills.
Capable of adapting to priority changes as projects evolve and demand changes.
Familiarity with financial and accounting terminology is desired but not required.
Highly proficient knowledge of computer equipment and various graphics, word processing, spreadsheet, and database software packages, and the use of various office equipment.
Excellent communication skills, both written and verbal, for effective client/team interaction.
Ability to work in office 8:45 am – 5:00 pm, Monday to Friday. The office location is at 400 East Pratt St. in Baltimore City.

The pay range for this position is $22.00 – $26.00/hr
