Position PurposeThe Administrative Assistant ensures efficient daily operations within a dynamic, fast-paced office environment.

Principal Responsibilities

Collect, enter, and submit office payroll.
Maintain Workday system with current and accurate information in all aspects.
Produce and maintain various reports, contracts, and proposals.
Manage the office vacation calendar.
Ensure contracts are signed and uploaded into Workday prior to pool openings.
Collaborate with internal departments, including Human Resources, Safety, Training and Development, and Accounting.
Report all Workers’ Compensation claims immediately.
Report all Unemployment claims immediately.
Coordinate vehicle inspections, background checks, and lifeguard certifications.
Initiate purchase requisitions.
Process and communicate employee hires, terminations, and pay rate changes to appropriate departments.
Regularly meet with the Executive Director of Administration.
Support the Staffing department as needed.
Understand and implement company policies and procedures.
Maintain office supply inventory and lifeguard uniforms.
Handle phone inquiries courteously and effectively.
Maintain organized filing and data entry systems.
Schedule and manage appointments and calendars.
Provide excellent customer service, promptly addressing inquiries and resolving issues.
Collaborate across departments to facilitate smooth office operations.
Maintain confidentiality of sensitive information per company policies.
Additional duties as assigned.

Qualifications

Required:

Exceptional customer service orientation with strong interpersonal skills.
Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Gmail Suite.
Strong organizational skills, attention to detail, and prioritization capabilities.
Excellent verbal and written communication skills.
Ability to prioritize tasks independently to meet tight deadlines.
Experience in office administration or clerical roles is beneficial.
High school diploma or equivalent with two years of related work experience, or college degree.

College Degree
Experience in customer service industry
Experience with Workday software

Pay: $17.00 – $18.00 per hour
