The Office Coordinator is responsible for providing support to both our sales associates and administrative team by representing the brand and services we provide. Anticipating and responding to the needs of clients (real estate agents working for the brand), public and vendors, while maintaining a personable, team-oriented, and professional disposition. This is an on-site position supporting Sotheby's International Realty in Flatiron.
Primary Responsibilities:
– Process transaction closings & commission payments for rental, sales, and referral transactions, which includes obtaining necessary documentation and adding disbursement and calculations of amounts payable
– Data Entry Updates on transactions including follow-ups with agents
– Process Under Contracts by collecting paperwork and updating status
– Communicate with attorneys regarding wire instructions and invoices
– Maintain database of agent licenses
– General IT Assistance including basic troubleshooting of computer issues and basic training of software applications; first line of defense before local IT support and helpdesk
– Provide general office support and back-up to the Office Administrator
Secondary Responsibilities
– Back up to Front Desk Coordinator
– Back up to Office Coordinator that handles data entry for new listings, adding open houses, and price changes
Requirements:
– The ideal candidate must have a minimum of a 4-year degree or equivocal and/or related office administrative experience which includes accounting tasks (preferably in a real estate office).
– Comfort with processing payment requests and computer software that calculates amounts due
– Basic accounting and bookkeeping experience preferred
– Strong customer service skills with excellent communication skills, both verbal and written.
– Strong attention to detail and highly organized.
– Ability to interact successfully with both internal and external customers at all levels.
– Two or more years’ experience in a customer centric business environment with administrative responsibility for office operations.
Real Estate background preferred
