Coastal Carolina University is currently accepting applications for a full-time position: Administrative Assistant in the Department of Marine Science with the primary responsibilities to assist the Graduate Programs.
The Administrative Assistant to the Chair of the Department of Marine Science and Associate Chair of Graduate Programs is responsible for overseeing and maintaining departmental budgets, office management, student enrollment management, personnel coordination (e.g., Graduate Assistants), and procurement. This role involves assisting faculty, students, and parents with various needs, as well as monitoring and supporting all departmental activities. Additionally, the Administrative Assistant will advise students on degree programs, university policies, and campus resources. Collaboration with the Administrative Assistant for Undergraduate Programs is also a key aspect of this position.

Administrative Assistant (AA75/61122000), full-time position with benefits. SC State Pay Band 04. Salary range: $32,686.00 (minimum) – $46,578.00 (midpoint). Normal work hours are Monday through Thursday, 8:00 a.m. to 5:00 p.m. and Friday, 8:00 a.m. to 12:30 p.m. Must be flexible to meet the special scheduling needs of the university.
Duties
Duties include, but not limited to:
Serves as departmental Administrative Assistant and liaison for the Marine Science graduate programs; handles various correspondence with faculty, staff, current and prospective students, alumni, parents, and the general public; coordinates prospective student visits, disseminates departmental information; and schedules room reservations in coordination with the Department Chair. Coordinates and performs fiscal management activities, monitors and maintains departmental graduate program budgets in coordination with the Department Chair and Associate Chair and supports faculty PI’s with their grant budgets and accounting functions; initiates and organizes budget requests; responds to budget audits.
Coordinates and performs personnel management activities; coordinates Graduate Assistant job duties with relevant departments; prepares and oversees all hiring and salary paperwork for the Marine Science graduate programs in conjunction with the HR Service Center. Manages graduate student training requirements and coordinates/tracks training and/or certifications with relevant departments.
Coordinates and tracks all departmental purchasing to support the graduate programs and some Marine Science grant-related purchasing, maintains P-Card, serves as PCard liaison, oversees purchasing of basic departmental supplies. Completes complex Procurement orders when needed, processes purchase requisitions and accompanying documentation, purchases orders with state issued purchasing and travel card, processes expenses settlements/reimbursements and travel approvals/reimbursements, budgeting and assist with limited liaison purchasing card duties.
Coordinates Graduate Assistant job duties with the Associate Chair of Graduate Programs; approves and keeps records of Graduate Assistantship hours, communicates hours to students. Effectively tracks the training of Graduate Assistants. Effectively coordinates activities of Graduate Assistants: works in conjunction with our HR Service rep for all graduate student hiring and salary paperwork for the graduate programs. Working with the Marine Science Chair and Associate Chair – Graduate Programs, coordinates graduate programs (e.g., Coastal Marine and Wetland Studies M.S. and Marine Science Ph.D.) admissions process. Help manage new student orientation and departmental examinations. Assists with graduate student recruitment.
Working with the Marine Science Chair and Associate Chair – Graduate Programs, helps advise students through the graduate degree programs (e.g., CMWS M.S. and Marine Science Ph.D.) and counsels individuals concerning institutional policy, procedures, and regulations. Assists students with graduate internships. Assists Marine Science Chair and Associate Chair – Graduate Programs with various documents and reports, including annual reports, program evaluations, faculty evaluations, and graduate program class scheduling; coordinates and tracks all departmental related paperwork for the graduate programs. Supports assessment of the Marine Science graduate programs (e.g., Coastal Marine and Wetland Studies M.S. and Marine Science Ph.D.). Handles all constituent needs in a professional, timely and positive manner. Maintains a positive and effective work relationship with the Marine Science Administrative Assistant – Undergraduate Programs. Provides exceptional customer service to all constituents, including but not limited to, faculty, staff, students, visitors and the community at large.
Qualifications
Required: High school diploma or equivalent and five (5) years of related work experience. Equivalent education, training, and experience may be considered.
Preferred: Bachelor’s degree and experience in an academic setting.
Knowledge, Skills & Abilities: The employee must have excellent organizational, interpersonal, and communication skills. Strong typing and computer skills are required, including proficiency with various software packages (MS Word and Excel, email, internet, ability to learn Procurement programs; must have good time management and office management skills and be able to work cooperatively with diverse groups. Must have personnel management skills (will train/supervise multiple part-time and student workers); must be able to maintain and track departmental and grant budgets; must be able to coordinate paperwork for student records, hiring, purchasing, travel and grant transactions. Must be able to communicate effectively and work cooperatively with faculty, staff, students, parents and the general public.
