Job Title: Administrative Assistant – Events Department/State Theater

Class: 54

CHARACTERISTICS OF THE JOB:

This is a highly responsible, administrative position as a community programs professional including technical, clerical and administrative tasks. Supports the Events Program Manager and State Theater Operations Manager by performing administrative tasks for the State Theater and the City Events Department. This position works under the direction Events Program Manager and State Theater Operations Manager assisting in facility inquiries, ticketing, rental calendar scheduling, customer service, contracts and office management. This position primarily requires work in the office and occasionally outdoors with a flexible schedule working some nights and weekends dependent upon theater and events schedule. Computer literacy, customer service skills, and knowledge of social media marketing are a must. Knowledge of Microsoft Office Professional.

EXAMPLES OF DUTIES:

Under the direction of the Events Program Manager and State Theater Operations Manager, this position will assist in the coordination of all efforts for the Theater including: rental and event scheduling, building rentals, bookings, building tours and concession management. Position involves doing physical work at the Theater including operating machines and carrying supplies in the concessions area and operating theater equipment. Assist in City events with events such as Wine Festival and Cruisin’ the Heartland. Perform other work as assigned.

ELIGIBILITY REQUIREMENTS:

High school diploma or GED required. Some college preferred.
Experience in administrative tasks and assistance required.
Customer service experience required.
Possess a valid Kentucky Driver’s License.
Ability to read, write legibly, and communicate effectively in English.
Ability to follow written and oral directions and instructions.
Strong communication, written skills, and interpersonal skills and a positive attitude.
Must be able to work independently and as part of a team.
Physically capable of performing essential job functions.
Physically able to access all areas of the venue and physically capable of outdoor working environments.
Proficient in Microsoft Office Professional (Word, Excel, Outlook, PowerPoint, and Publisher).
Proficient in social media platforms such as Facebook, Instagram, and Snapchat.
Ability to meet and communicate with the public in an effective and tactful manner.
Assist in communications and logistics of venue rentals.
Able to flexible schedule (event dependent) on nights and weekends.
Neat in appearance, of good moral character, and not convicted of a felony crime.
Pass drug screening.

ESSENTIAL JOB FUNCTIONS:

Perform specific duties as defined in “Example of duties”.
Operate theater projection, sound, and lighting equipment in Theater and have base understanding of the operations within Theater.
Coordinate all aspects of venue rental process, including but not limited to: responding to all inquiries, contracts, layout, and event schedules.
Manage event ticket sales using internet-based software.
Coordinate with calendar of events for all spaces within venue.
Serve and manage alcohol sales, able to obtain STAR certificates for serving alcohol.
Physically capable to access all potential work zones for events inside and outside of Theater and for outside City events. Able to lift 50 lbs.
Perform other duties as assigned.
Work nights and weekends and hold flexible schedule event dependent.
