Temporary Executive Assistant Job Description

We’re looking for a detail-oriented and dependable Executive Assistant to provide temporary coverage during maternity leave. This is a high-impact role supporting a busy executive with various administrative and strategic duties like managing calendars, coordinating travel, preparing documents, and keeping high-level tasks on track.

In addition to direct support, this role also serves as a liaison between leadership and departments such as Sales, Field Operations, and HR/Onboarding—tracking action items, ensuring priorities are communicated clearly, and keeping the executive looped in on critical updates.

Key Responsibilities:

Provide direct administrative support: managing calendars, travel, and correspondence
Oversee email management, flagging important emails and responding as needed.
Draft and prepare documents, presentations, and reports on behalf of the executive
Liaise with internal departments to track deliverables and escalate priorities
Code and categorize Executive’s and office expenses
Maintain visibility to onboarding, project coordination, and operational workflows
Assist with scheduling, logistics, and company-wide communications
Occasional responsiveness outside of business hours may be needed

Additional duties may include, but not be limited to:

Direct Support to Executive:

Book and coordinate complex travel arrangements (flights, hotels, ground transportation)
Prepare meeting agendas, notes, and follow-ups
Draft and edit internal and external communications on behalf of the executive
Organize and maintain confidential files and sensitive documents
Track and manage executive’s calendar, schedule meetings, and prioritize time blocks
Submit expenses and manage credit card receipts/reporting
Prepare PowerPoint presentations, documents, and summary reports for client or internal meetings

Liaison Responsibilities Across Departments:

Follow up on outstanding action items from field, sales, or HR teams
Ensure field and office teams are aligned on project start dates, staffing, and travel
Ensure subcontractor agreements and other important documents are received and routed appropriately
Monitor invoice aging and flag items that require executive review or follow-up
Coordinate logistics and communications for community events or trade shows
Act as a point of contact when the executive is unavailable

Ideal Candidate:

Strong communicator with excellent organizational and follow-through skills
Capable of managing confidential information as needed
Proficient in Microsoft Office; detail-oriented and professional
Able to work independently and pivot between tasks as priorities shift
Assertive and exercises good judgement in a variety of situations
Familiarity with industrial or construction environments is a plus

Required skills and experience:

3+ years of experience as an Executive Assistant or Senior Administrative Assistant
Advanced knowledge of Outlook calendaring, Excel, PowerPoint and other various business tools and technologies.
Experience coordinating meetings, documenting minutes, tracking deliverables, etc.
2+ years of experience coordinating and managing executive travel arrangements

Job Type: Temporary – Maternity Leave Coverage

Location: Cumming, GA | Monday–Friday, 8 AM – 5 PM | In-Office

Pay: $25–$30/hour

This position is classified as temporary employment and is intended solely to provide coverage during an employee’s approved leave of absence. The expected duration of this assignment is mid-May 2025 through early October 2025, this timeframe may be adjusted based on business needs.

Temporary employees are not eligible for company-sponsored benefits unless otherwise required by law. This includes, but is not limited to, paid time off, health insurance, retirement plans, and paid holidays.

Employment is at-will and may be terminated by either party at any time, with or without cause or notice. Nothing in this statement alters the at-will nature of the employment relationship
