A Hope is seeking a part-time administrative assistant for a growing private practice. The ideal candidate must be personable, highly organized, detail-orientated, and possess excellent customer service skills. Initially, the candidate will work 15 hours/week and gradually increase to 25. Potential candidate must reside in VA.
Responsibilities:
Processing Payments: Assist with payment processing, including credit card payments, checks, and co-pays.
Filing and Documentation: Maintain organized electronic files for client records, forms, and reports in compliance with privacy laws (e.g., HIPAA)
Intake and New Client Processing: Assist with the intake process, including gathering new client information, verifying insurance, and ensuring necessary documentation is completed.
Scheduling Appointments: Coordinate and manage client appointments, including rescheduling and cancellations
Client Communication: Answer phone calls, emails, and messages from clients, providing information or redirecting inquiries to the appropriate staff.
Client Registration: Ensure that client information is accurately entered into the practice management system.
Complete consultations and collect insurance information for potential clients
Electronic Health Records (EHR) Management: Ensure accurate and timely entry of client data into the EHR system, including updating progress notes, treatment plans, and session documentation
Reporting: Assist in generating reports, such as client billing summaries, session logs, and insurance claims.
Insurance Billing: Help process insurance claims, follow up on outstanding claims, and ensure timely reimbursement
Assist with Marketing and Outreach: Support any marketing efforts, including maintaining social media, creating flyers, or helping organize community outreach events
Position Requirements:
Efficient in Office Suite (Word and Excel) and Google Office
Works independently with minimal need of guidance on a variety of projects
Must have excellent written and oral skills
Strong data entry skills and experience
Strong organizational, project management, and problem-solving skills
