Job Title: Office Executive / Personal Assistant (PA) to DirectorRole Overview:

The Office Executive (PA to Director) provides high-level administrative and organizational support to the Director. This role requires excellent communication, time management, and confidentiality skills, ensuring the Director’s daily operations run smoothly.

Key Responsibilities:

1. Administrative Support

  • Manage the Director’s calendar, appointments, and meetings
  • Organize travel arrangements, bookings, and itineraries
  • Prepare reports, presentations, and correspondence
  • Maintain files, records, and important documents

2. Communication Handling

  • Act as a point of contact between the Director and internal/external stakeholders
  • Screen calls, emails, and other communications
  • Draft emails, letters, and official documents on behalf of the Director

3. Meeting Coordination

  • Schedule and coordinate meetings, conferences, and events
  • Prepare agendas and take meeting minutes
  • Follow up on action items and deadlines

4. Office Coordination

  • Ensure smooth day-to-day office operations
  • Coordinate with different departments as required
  • Handle office supplies and vendor interactions

5. Confidentiality & Discretion

  • Handle sensitive information with strict confidentiality
  • Maintain professionalism in all interactions

6. Task & Project Support

  • Assist in special projects and research tasks
  • Track progress of ongoing tasks and report updates to the Director

Required Skills:

  • Excellent verbal and written communication
  • Strong organizational and multitasking abilities
  • Proficiency in MS Office (Word, Excel, PowerPoint)
  • Time management and problem-solving skills
  • High level of discretion and integrity

Qualifications:

  • Bachelor’s degree in Business Administration or related field
  • Proven experience as a PA, Executive Assistant, or Office Executive (preferred)
