As our company continues to grow, we’re looking for a detail-oriented and motivated Office & Finance Administrator to join our team and support our operations, finance, and client intake processes.

Position Overview:

The Office & Finance Administrator will play a key role in keeping our business running smoothly. This position involves managing lead intake, assisting with project administration, processing payroll and invoices, and helping to maintain organized internal systems. The ideal candidate will be highly organized, client-focused, and confident handling basic financial tasks.

Key Responsibilities:

Manage incoming client inquiries and schedule quoting appointments for our sales team.

Enter and maintain accurate data in our CRM, Jobber (project management platform), and Quick Books (accounting software).

Set up new projects once quotes are approved, including creating project files, issuing deposit and final invoices, and sending client onboarding materials.

Manage commercial project invoicing, including tracking progress billing and ensuring alignment with client billing cycles and requirements.

Process weekly payroll and independent contractor payments.

Track accounts receivable and payable, including following up on outstanding invoices and vendor payments.

Maintain organized project files and office documentation.

Order office supplies and support general office organization.

Assist leadership with administrative tasks as needed.

What We’re Looking For:

Strong organizational skills and attention to detail.

Excellent written and verbal communication skills.

Ability to manage multiple priorities calmly and professionally.

Basic financial administration experience (payroll, invoicing, AR/AP) is an asset.

Experience with CRM systems, Quick Books, and/or project management software preferred (or willingness to learn).

Positive attitude and a commitment to professionalism and client service.

Compensation:

$22–$25 per hour, based on experience and skill set.
