Responsible for supporting department leadership and staff in efficiently managing daily rail training operations. This role also oversees inter-departmental and cross-functional deliverables and provides direct supervision to the Office Supervisor.
Roles and Responsibilities:
Prepare and distribute internal and external communications on behalf of the Senior Director and Directors, including correspondence dealing with sensitive/confidential issues.
Supports senior staff with research and information gathering, communicates with other department and organization members, tracks staff responsibilities, and follows up on deliverables.
Works closely with Rail Training Program Managers (T&E/Mechanical-Technical), to follow up on deliverables for senior management.
Manage human resources matters within the department by assisting with the structure and organization of the rail training team: examining ways to improve work efficiency, analyzing employee grade levels and salaries, identifying savings, writing draft job descriptions, creating position requisitions, and optimizing office space utilization. Act as a liaison between recruiters and the rail training management on vacancies.
Analyzes budget variances and oversees department expenditures to ensure financial efficiency and compliance with established guidelines.
Oversees responsibilities associated with the Office Supervisor role, including but not limited to the creation of purchase orders and requisitions, check requests, and process payments. Investigates open issues requiring a strong understanding of Oracle to ensure timely completion of requests.
Provide oversight and guidance on time and attendance policy with expertise and knowledge of Kronos Dimensions.
Works with the Director of Rail Training to ensure all rail training supervisors complete Performance Management responsibilities, including annual goal setting, mid-year reviews, and year-end performance plans.
Review Training Dashboard to ensure alignment with current new-hire training courses and student attendance.
Performs special projects and other duties as assigned/directed.

Education, Experience and Qualifications/Knowledge & Skills Required:
Bachelor’s degree in Liberal Arts, Business Management, or related area from a U.S. Department of Education accredited college or university.
Plus, three years of experience in rail training, rail management, or transportation.
Any relevant combination of education and experience can substitute for the educational requirement
Experience supporting senior-level management.
Knowledge and Skills
Minimum:
Knowledge of NJ TRANSIT policies and procedures.
Strong skills using Microsoft Office Suite (i.e., Word, Excel, Access, PowerPoint).
Working knowledge of Oracle.
Demonstrated organization skills and the ability to work independently and meet deadlines.
Must have the ability to manage multiple priorities in a rapidly changing environment.
Excellent written and verbal skills, organizational skills, and demonstrated leadership qualities.
Ability to work with discretion on confidential information.
Established reliability in punctuality and attendance a must.
Preferred:
Experience managing department budgets.
Established experience utilizing Cornerstone a plus.
