Position Overview
The Office Manager will play a crucial role in the smooth operation of our business. This person will manage customer communications, handle scheduling and dispatching, coordinate with field technicians, and ensure all administrative functions run efficiently. The ideal candidate will have strong organizational skills, experience in office management, and the ability to support and lead an office team.
Duties
Manage day-to-day office operations, ensuring a productive work environment.
Manage all customer communications, ensuring timely and professional responses to inquiries, appointments, and follow-ups.
Oversee scheduling and dispatching of field technicians for residential and commercial projects.
Coordinate material orders to ensure timely delivery and job readiness.
Assist with fleet management, including scheduling routine maintenance and resolving any issues that arise with company vehicles.
Support field technicians by providing necessary administrative assistance, including tracking job progress and coordinating with the project team.
Manage office staff responsible for administrative tasks related to project coordination, billing, and vendor management.
Maintain and organize office records, databases, and project files to ensure accuracy and easy accessibility.
Collaborate with other departments and leaders to streamline office processes and improve operational efficiency.
Oversee the implementation and use of office technology systems and ensure they meet the company’s needs.
Ensure compliance with company policies and industry regulations.
Maintain organized filing systems for both physical and digital documents.
Assist in budgeting processes, tracking expenses, and ensuring adherence to financial guidelines.
Implement and maintain office policies and procedures to enhance operational efficiency.
Utilize QuickBooks for financial tracking and reporting as needed.
Support medical office management tasks, if applicable, ensuring compliance with relevant regulations.
Provide administrative support to senior management as required.
Qualifications
Proven experience as an Office Manager or in a similar administrative role, ideally within the home services or construction industry.
Excellent organizational and multitasking abilities.
Strong communication and interpersonal skills for dealing with customers, vendors, and team members.
Proficient in office software (e.g., MS Office, scheduling software).
Experience in managing a team or coordinating with multiple departments is a plus.
Ability to prioritize tasks and solve problems efficiently in a fast-paced environment.
Proficient in QuickBooks and other office management software.
Excellent communication skills, both written and verbal.
Ability to work independently as well as part of a team.
Attention to detail and problem-solving abilities are essential.
