Position Overview:

We are seeking a warm, organized, and dependable Receptionist/Office Assistant to join our team. This role is perfect for someone who is compassionate, professional, and confident in managing both front desk communication and behind-the-scenes operations that support our caregivers and clients.

Key Responsibilities: Communication & Front Desk Support

Answer incoming phone calls and respond to general inquiries from caregivers, clients, and families
Provide schedule updates, and check-in calls with clients to ensure satisfaction with care
Follow up with caregivers about shift reminders, updates, and concerns

Office Operations

Collect and organize timesheets, including checking the after-hours drop box
Maintain inventory of office supplies such as gloves, masks, and caregiver timesheets
Prepare and send client invoices via mail and email

Caregiver Onboarding & Support

Take in-person and phone caregiver applications
Make copies of required documentation (IDs, certificates, etc.)
Schedule caregiver orientation sessions and assist with badge creation
Ensure caregivers are clocking in/out using the Sandata app and provide support as needed

Qualifications:

Strong communication and organizational skills
Reliable, self-motivated, and able to work independently
Comfortable with basic office technology: email, copier/scanner, Google Calendar, etc.
Prior experience in a caregiving, healthcare, or administrative role is a plus
(English/Spanish or Portuguese) a plus, but not required

Job Type: Part-time

Pay: $17.00 – $19.00 per hour

Expected hours: 20 per week
