Job Summary

Salary and Benefits: This is a full-time, benefited Classified 5 level position. Starting wage range: $18.41 – $20.82/hourly, depending upon experience.

Job Summary:

The Administrative Assistant III is responsible for supporting the operational functions in the School of Arts & Sciences. This 12-month position supports the clerical, administrative, and operational functions of the department. This position performs administrative duties through knowledge of standard office procedures, office computer software as well as college, system, state, and federal regulations. This position is responsible for confidential documents, supporting the logistical and operational functions, maintaining supplies, budgeting support, and maintaining information for college, state, and federal reporting. This position actively supports students, managers, instructors, and staff.

Other tasks may be assigned based on contemporary institutional need.

Principal Responsibilities and Results, KSA’s

ESSENTIAL FUNCTIONS: – this position non-exempt and is eligible for compensatory or overtime pay provisions of the FLSA. This listing of essential duties is not all-inclusive, but representative, other duties may be assigned).

Provide administrative and operational support to Dean, Coordinators, Directors, Faculty, students, and staff by addressing inquiries, resolving issues, coordinating administrative support functions, and facilitating access to college resources.
Manage budgeting records and reconcile expenditures by maintaining accurate financial documentation, tracking expenditures, and supporting procurement processes.
Facilitate efficient course scheduling and registration by maintaining accurate course records, coordinating with staff and faculty, and ensuring timely updates to course and schedule information.

KNOWLEDGE, SKILLS, AND ABILITIES:

Knowledge

Administrative – Knowledge of administrative and office procedures and systems such as word processing, managing files and records, designing forms, and workplace terminology.
Budget Control – Knowledge of budget control methods, policies, and procedures.
Computers – Knowledge of operation of computers.
Customer and Personal Service – Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
English Language – Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
Inventory Control – Knowledge of inventory control principles and methods.
Office Procedures – Knowledge of office procedures and of spelling, grammar, punctuation and arithmetic.
Records Administration – Knowledge of records administration and maintenance techniques and procedures.
Regulatory Compliance – Understanding of confidentiality requirements in higher education (FERPA).

PHYSICAL DEMANDS:

There may be occurrences of interacting with employees and/or students, past employees and/or students, members of the general public, and others who express opinions, may exhibit strong emotions, which will require the employee to interact professionally, diplomatically, and appropriately in such situations
While performing the essential duties of this position, an employee would frequently be required to move around the assigned work areas as well as within hallways, meeting rooms, and other parts of the campus facilities
There may be multiple/daily instances of prolonged sitting, standing, and personal computer use, which would include keyboard and/or mouse usage as well as viewing a computer monitor
An employee must have the ability to lift and/or move up to 10 pounds.
Specific vision abilities required by this position include close vision, distance vision, and ability to adjust focus
The overall work environment requires the mental ability to shift focal point quickly due to interruptions; an employee must be able to mentally track multiple projects and tasking as well
The noise level in the work environment is usually moderate; however, there may be instances of somewhat loud environments.

Education and Experience Requirements

Minimum Qualifications:

High School Diploma or Equivalent
Four years of experience in customer service or administrative support roles in an office environment.

Preferred Qualifications:

Two years of experience with information management systems/software and data entry.
An Associate’s Degree or higher from an accredited college or university.
