Position Overview:

We are seeking a dynamic and highly organized Office Manager / Executive Assistant to provide comprehensive support to our leadership team. The ideal candidate will embody our core values and possess exceptional communication, multitasking, and problem-solving skills. This role requires someone who can anticipate needs, take initiative, and thrive in a fast-paced environment.

Key Responsibilities:

Provide exceptional customer service by answering phones and greeting guests when they arrive in our building.

Coordinate, order, and pick up catered lunches for employees

Become a Pearson Vue Proctor and proctor exams.

Conduct bookkeeping tasks, including reconciling vendor bills, preparing them for payment, and processing incoming checks for deposits.

Processing Incoming Checks for Deposits:

Receive incoming checks from clients, customers, or other sources.

Prepare deposit slips and endorse checks for deposit into the company’s bank account.

Ensure timely and accurate deposit of funds to maintain liquidity and financial stability.

Preparing Bills for Payment:

Organize and prioritize vendor bills for payment based on due dates and urgency.

Ensure all necessary approvals are obtained before processing payments.

Prepare payment vouchers or electronic transfers accurately and in accordance with company policies and procedures.

Manage facilities by ensuring the cleanliness, functionality, and organization of the office building.

This includes:

Coordinating with cleaning staff or contractors to maintain a clean working environment.

Managing maintenance tasks, such as repairs and upkeep of office equipment, furniture, and facilities.

Keep Liberty beautiful and functional by keeping our spaces clean, the break room stocked with essentials, and coffee machine clean, stocked, and ready for use at all times

Addressing any facility-related issues or concerns raised by employees and taking appropriate action to resolve them.

Order office supplies as needed

Handle ad-hoc administrative tasks and special projects as assigned.

Qualifications:

Minimum of 2 years of experience in an executive support role or similar capacity.

Proven ability to prioritize tasks, manage time effectively, and meet deadlines in a dynamic environment.

Exceptional organizational skills and attention to detail, with a track record of maintaining accurate records and documentation.

Strong written and verbal communication skills, with the ability to interact professionally with individuals at all levels.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.

Demonstrated commitment to continuous learning and personal development.

Bachelor’s degree preferred, but not required.
