Nabors Pools – Office Manager

Nabors Pools is looking for a talented and reliable Office Manager to manage and undertake administrative tasks, ensuring the rest of the staff has adequate support to work efficiently. The responsibilities of the Office Manager will include bookkeeping, accounts management for all sales, repairs and service, and addressing incoming customer requests and concerns. The ideal candidate will be competent in prioritizing and working with little supervision. The person in this position will need to be self-motivated, trustworthy and an excellent communicator. The office administrator ensures smooth running of our company’s offices and contributes in driving sustainable growth.

More specifically, you will be…

Responsible for optimizing the daily repair and service schedules so that our field teams are operating with maximum efficiency.

Setting up weekly recurring customer accounts (routes/filter cleaning schedules, payment schedule)

Serving as a liaison between the service and repair department, escalating reported equipment issues and delegating follow ups and assessments to the proper channels.

The first point of contact for customer feedback, questions and complaints. Must be able to listen and respond to customers concerns in a caring, compassionate and urgent manner then delegating to the appropriate manager.

Database Management (Jobber/Skimmer/Teams/Time Tracking/Microsoft Office)

Serving as HR Record Keeper to update and maintain office policies, process payroll, onboard new employees, and demonstrate discretion with sensitive employee data.

QuickBooks/Billing Administrator: Accounts receivable, issuing invoices, collections, daily bookkeeping, setting up and auditing recurring payment accounts, reporting, and monthly sales tax payments to the State of Texas.

The ideal hire for this position is a problem solver, great communicator, has the ability to work independently and give/take direction and guidance to the team in a constructive manner.Required Qualifications and Experience Include:

Open to learning Basic Pool Maintenance Knowledge (Cleaning and Chemistry)

3-5 years of work experience in an Administrative/Office Management Role

Strong organizational and time management skills; ability to prioritize

Must be proficient with Microsoft Office and Google products

Strong writing skills (ability to draft letters to customers and professional emails with proper grammar and punctuation).

Developing customer relationships and ensuring customer satisfaction; controlling customer retention and developing new business; able to overcome objections and obstacles

Excellent communication skills. Must be able to communicate effectively with team members and clients

Careful attention to detail and the ability to multitask is necessary

The ability to work independently, handle a variety of tasks, stay organized, be dependable, accountable, and friendly
