Position Overview:
The Executive Administrative Assistant provides high-level administrative support to the key front office departments to include the executive team. This role requires exceptional organizational skills, attention to detail, and the ability to handle confidential information with discretion. The ideal candidate will coordinate executive events, company events, manage travel, take meeting notes, order supplies, and ensure smooth front office operations.
Primary Responsibilities:
Manage and coordinate executive schedules, including appointments, meetings, and events
Plan, organize, and execute company events and executive meetings, including logistics, catering, and attendee coordination
Arrange complex travel itineraries for executives, including transportation, accommodations, and detailed schedules
Attend executive meetings, take accurate notes, and prepare/distribute meeting minutes and action items
Prepare reports, presentations, and meeting materials
Maintain strict confidentiality with sensitive company and personnel information
Order and manage office and organizational supplies for all front office departments, ensuring timely replenishment and cost-effectiveness
Provide administrative support to the front office teams, including document management, record keeping, and assisting with special projects as needed
Provide backup support to the front desk receptionist
Support other administrative tasks as required to facilitate smooth office operations
Qualifications:
Must have administrative support experience at the senior executive level or equivalent experience
Must possess Microsoft Office skills, including Outlook, Teams, PowerPoint, Word, and Excel
Must demonstrate a high level of accuracy and strong attention to detail
Ability to maintain high level of confidentiality
Education / Experience:
Bachelor’s degree is preferred but not required.
Must be authorized to work in the United States
