We are seeking a highly organized and friendly Administrative Assistant to join our pediatric primary care office. The ideal candidate will be responsible for providing administrative support to the office staff, ensuring smooth daily operations, and delivering excellent customer service to patients and their families. The role requires multitasking, attention to detail, and a passion for working in a healthcare environment.
Key Responsibilities:
Patient Interaction:
Greet patients and their families warmly, ensuring a welcoming environment.
Answer and direct phone calls in a timely manner, addressing patient inquiries or transferring calls to the appropriate staff members.
Schedule appointments and confirm patient visits via phone or email.
Assist with patient check-in and check-out procedures, ensuring accuracy of patient information.
Maintain and update patient records in compliance with confidentiality and HIPAA regulations.
Administrative Support:
Manage office supplies, ensuring stock levels are adequate and ordering when necessary.
Maintain office filing system (both physical and digital).
Conducts overdue preventive visit calls
Completes referrals and record transfers
Enters and ensures new patients have completed all required forms
Handle general office duties such as faxing, copying, and scanning.
Assist with billing and insurance verification as needed.
Team Collaboration:
Support office staff, including physicians, nurses, and office managers, with administrative tasks.
Assist with preparation for meetings, events, or patient outreach activities.
Help coordinate office workflows and ensure timely completion of tasks.
Compliance & Accuracy:
Ensure all patient information is accurately recorded and updated in the system.
Assist in maintaining compliance with regulatory standards and office policies.
Ensure confidentiality and privacy of all patient information in accordance with HIPAA.
Qualifications:
High school diploma or equivalent; Associate’s or Bachelor’s degree preferred.
Minimum of 1-2 years of experience in an administrative or office assistant role, preferably in a healthcare setting.
Familiarity with medical terminology and basic office software (e.g., Microsoft Office Suite, Google Workspace).
Excellent communication and interpersonal skills, with a strong focus on customer service.
Ability to manage multiple tasks efficiently in a fast-paced environment.
Strong attention to detail and organizational skills.
Ability to work independently and as part of a team.
Preferred Qualifications:
Previous experience in a pediatric or healthcare setting.
Experience with electronic health records (EHR) or practice management software.
Knowledge of insurance billing and coding.
