Full Job Description
Full time, on-site experienced office manager needed immediately for small well established family and estate law firm. The office manager handles accounts payable and accounts receivable for the firm, under the supervision of a remote Bookkeeper and contracted CPA. This position also handles Human Resources for a staff of up to 12, supervises the receptionist/office assistant position, answers the phone, handles administrative tasks such as dealing with vendors and repair persons, administrative filing and record keeping, and other tasks as needed. Experience with Clio preferred, experience with other legal case management systems required. Experience with IOLTA rules required… or must be able to answer questions regarding IOLTA rules at time of interview. Valid N.C. driver’s license and reliable transportation required. Salary range is $55,000-$65,000 based on experience and skill set. Benefits include paid time off, and 100% of the cost of BlueCross BlueShield health insurance for the employee after 90 day probationary period.
Duties
· Quickbooks, including printing checks for accounts payable, maintaining petty cash. This position works closely with the bookkeeper.
· Running payroll through ADP, issuing 1099 forms, communicating with bookkeeper.
· Greets clients and visitors to the firm and direct them to the appropriate firm member when office assistant is not available.
· Human resources familiarity.
· Monthly billing.
· In charge of preparing staff meetings.
· Handles incoming and outgoing mail (including FedEx, UPS, etc.) and distributes mail to the appropriate team members when office assistant is not available.
· Errands as requested.
· Opening office.
· Dealing with vendors such as repairmen, IT technicians, printers, insurance brokers, etc.
· Maintaining office supplies and office equipment as well as insurance policies, research on cost effective options.
· Supervising and training file clerk/interns.
· Answering phones and routing calls or taking messages for team members when office assistant is not available.
· Ability to work with office technology including copiers, scanners, computers, Microsoft Office.
· Other work as designated by the owner.
Experience
Experience Requirements: 3 – 5 years experience in similar duties. Must be professional in mannerisms, speaking, and dress. Must have an ability to demonstrate strong people skills with empathy. Will need to be able to handle a mulit-line phone system. Technology experience in Microsoft Windows products and the ability to learn the firm’s case management system required. Bookkeeping skills required. Must have Quickbooks experience. Organizational skills, ability to be on time, pleasant personality, and team- oriented skills required. References will be verified and the applicant must be able to pass a criminal and civil background check.
