Overview:
New Harmony BH, LLC of New Jersey is a dually licensed outpatient mental health and substance abuse treatment center licensed with the NJ Department of Human Services supporting individual, family, and group work by providing intensive outpatient, and traditional outpatient services. We are currently seeking a dynamic and experienced Office Manager/Administrator to join our team and help us in managing the daily operations of our office.
Responsibilities:
– Oversee and manage the day-to-day administrative operations of the office
– Manage office supplies, equipment, and maintenance
– Coordinate and staff schedules, appointments, meetings, and events
– Assist in the recruitment and onboarding of new staff
– Handle initial new client intakes as needed to include incoming calls, emails, and inquiries
– Maintain office files and records in an organized manner
– Ensure compliance with all office policies and procedures
– Collaborate with other team members to ensure efficient office workflow
– Provide administrative support to staff and management as needed
– Facilitate meetings and presentations with management on business operations and development
– Managing communication and workflow with a team of multi-disciplinary staff
Qualifications:
– Proven experience as an office manager or business administrator
– Knowledge of Mental/Behavioral Health environments/procedures/settings
– Strong experience with spreadsheets/analytics and tracking
– Experience launching an office from the ground up
– Strong experience with spreadsheets/analytics and data tracking/reporting
– Excellent organizational and time management skills
– Strong communication and interpersonal abilities
– Proficient in Microsoft Office Suite (Excel/PowerPoint) and office management software
– Ability to work independently and as part of a team
– Knowledge of basic accounting principles is a plus
– Experience in a healthcare or mental health setting is preferred
– Experience with EMR systems like RXNT is a plus
Job Hours: 9pm-5pm + Over Time
