Knowledge and Experience:

At least 3 years of experience as Administrative Supervisor in transit or logistics
Experience in a QA role
Experience analyzing data and reporting
High school diploma or G.E.D
BS/BA business administration a plus
Experience in a fast-paced work environment
Intermediate knowledge and experience of Microsoft Office Suite
CPR, AED and First Aid Certification (Provided by the Company)

Key Accountabilities:

Administrative

Responsible for maintaining and furnishing all documents related to the Contract, including but not limited to, on-time performance, Contract/penalty compliance, customer complaints and resolutions, staffing reports, etc.
Responsible for providing support to drivers during their scheduled pull-out times, interfacing with Maintenance as needed
Manage requests from client for various weekly and monthly reports and audits
Backup for payroll and related records recording the accumulation and use of vacations, holidays, sick days, and miscellaneous leaves of absence
Ability to organize their work by utilizing tools, such as MS Excel and office equipment
Maintains employee confidence by keeping information confidential
Manage office inventory and working with vendors to ensure regular supply of office materials
Any Other Duties Assigned

Customer Service

All Customer Service Assistants report to this position
Supervise Customer Service staff
Assist Customer Service with customer comments
Investigates customer concerns and comments and provides information for corrective action when applicable
Maintains KPI data for continuous operational and customer satisfaction improvements
Perform, coordinate, and oversee audits of all transportation and safety processes to ensure compliance with procedures and achievement of process objectives under the direction of the General Manager
Interview operators and passengers to obtain additional information regarding customers’ concerns
Review video from the vehicles to gather facts about the incident in question
Respond to the Client with details about Customer Service inquiries/comments
Establish complaint reduction strategies in concert with operating department heads
Other duties as assigned

Business / Reporting Processes

The Administrative Supervisor shall be at the front entrance area during all route pull-out times
with duties including the tasks of ensuring all routes (including Demand Response/microtransit routes) departing the Blandin Hub leave on time and monitoring the front entrance area to ensure that customers are able to navigate the system safely and efficiently.
The Administrative Supervisor shall also be responsible for operating MWRTA provided “pull-in/pull-out software” in a timely manner and report all late pull-outs and reasons for such at weekly Fixed Route meetings
Coordinate performance reporting with the local management team including the implementation of tools and key metrics for monthly reports to our client
