Summary: Coordination, administration, and accounting of all Owned & Operated Assets (OAK) of KOA department functions. Working with corporate and field staff, compile, organize, and maintain all reporting requirements, including financial, procedural, and other department communication.

Essential Duties and Responsibilities:

Scan, rename, organize, and maintain both digital and physical files for easy retrieval.
Create and manage structured filing systems across platforms like TEAMs and other shared drives.
Review and process archived documents, ensuring compliance with retention policies.
Assist accounts payable in the preparation of invoices for payment, including consolidating recurring bills where possible.
Track and monitor financial documents such as franchisee financial statements, invoices, and account reconciliations.
Assist in the preparation of reports, check requests, 1099’s, and financial summaries.
Collect and organize signatures and approvals for key documents, including banking and financial paperwork.
Sort, distribute, and prioritize incoming mail and correspondence.
Coordinate and distribute regular reports such as P&L statements and other operational updates.
Schedule, plan, and assist with team activities and meetings.
Take meeting notes, summarize key discussion points, and track follow-up tasks.
Draft and format communications for team review and distribution.
Maintain and implement record retention policies by recommending and organizing items for archiving or purging.
Support retention and destruction projects, ensuring compliance with company guidelines.
Monitor and track operational data, including financial caps, expense reports, and tracking spreadsheets.
Assist with reconciliation tasks.
Provide support for ongoing projects such as franchisee financial reporting and system transitions.
Support expense report preparation and submission for team members.
Assist with vehicle registration tracking, toll distributions, and similar administrative processes.
Provide administrative assistance for mailroom orders, gift card requests, and office supply needs.

Required Education and Experience:

3+ years of bookkeeping or administrative experience
Proficiency in MS Office, specifically Excel and Word
Excellent organizational skills and detail oriented
Self-motivated with initiative and ability to follow-up on small details
Excellent written and verbal communication skills

Physical demands and working conditions:

Ability to lift and carry up to 25 pounds occasionally
Requires use of hands for typing, handling paperwork, and other office functions, such as copying, sorting and filing.
Requires long periods of sitting and /or standing, and computer usage
