Position Description

DEFINITION:

To perform a variety of technical and administrative duties and exceptional customer service . Perform administrative tasks such as processing and reviewing records, preparing documents and reports, and acting as a liaison with internal/external stakeholders to assist with coordinating programs and courses. Serve as the primary front desk representative by welcoming and assisting students, guests, and visitors, and managing incoming phone calls to ensure effective communication within the department.

SUPERVISION RECEIVED AND EXERCISED:

Receive general supervision from the Senior Director, Economic & Workforce Development.

Duties & Responsibilities (Essential Functions)

ESSENTIAL AND OTHER IMPORTANT FUNCTIONS STATEMENTS:

Essential and other important responsibilities and duties may include, but are not limited to, the following:

Essential Functions:

Provide excellent customer service to students, community members, employers, and other parts of the college.
Track instructor contracts, ensuring all necessary documentation is completed and processed prior to classes starting.
Maintain and input student course registrations daily.
Assist students with the process of transferring or withdrawing from courses, providing guidance on policies and procedures as well as processing the requests.
Maintain class records in compliance with local and state procedures and requirements.
Meet all deadlines internally and externally.
Assist team in monitoring and maintaining website postings for courses and course information and other marketing materials.
Track and manage scholarship funds, assist students with application processes, process scholarship applications, and prepare reports on scholarship fund allocation and usage.
Compose and prepare a variety of regular and confidential documents including general correspondence, reports, certificates of completion, class sponsorship forms, and memos from rough draft or verbal instruction; prepare copies of documents; communicate and coordinate information to appropriate agencies/departments.
Verify and review required documents for completeness and conformance with established regulations and procedures.
Update and maintain documentation for Career and College Promise (CCP) pathways.
Respond to requests and inquiries from students, faculty and staff, local and state agencies, provide detailed information and give directions.
Prepare payroll information for submittal including both instructional and non-instructional.
Maintain regular and confidential departmental files, records and other data; gather and compile the required information as necessary; sort and file documents and records according to standard policies and procedures; input various information into computer; download, print, sort and file materials as appropriate.
Prepare and assure completion of all reports to be sent to the appropriate state agencies and community college staff in a timely manner to comply with internal audit guidelines.
Greet and assist students, guests, and visitors with a friendly and professional demeanor, providing excellent customer service and support at the front desk.
Answer and direct incoming phone calls promptly and courteously, ensuring effective communication.

Other Important Functions:

Assist faculty, administrative staff and students with various support tasks including accessing computerized information.
Assist with the student registration process, in person and online.
Knowledge of EWD processes and procedures and general College policies and procedures.
Maintain, order and inventory office supplies and equipment.
May participate on various college committees and other institutional activities.
Perform related duties and responsibilities as required.

Qualifications

Qualifications:

Knowledge of:

Principles and procedures of record keeping.
Basic principles of business letter writing and report preparation.
Principles and practices of financial recordkeeping and reporting.
English usage, spelling, grammar and punctuation.
Modern office procedures, methods and computer equipment.
Advanced word processing methods, techniques and programs.
Advanced spreadsheet and database knowledge.
Principles of mathematics.

Ability to:
Interpret and apply the policies and procedures of the function to which assigned.
Maintain compliance records for college.
Maintain a variety of financial records and files.
Perform accounting activities including the maintenance of appropriate files and compiling information for reports.
Operate a personal computer, calculator and other office equipment.
Type and word process at a speed necessary for successful job performance.
Respond to inquiries and requests for information.
Maintain effective audio-visual discrimination and perception needed for:
Making observations
Reading and writing
Communicating with others
Operating assigned equipment
Handling varied tasks simultaneously
Maintain physical condition appropriate to the performance of assigned duties and responsibilities, which may include the following:
Standing or sitting for extended periods of time
Operating assigned equipment
Handling varied tasks simultaneously
Bending, stooping, climbing, or lifting up to 50 pounds
Maintain mental capacity, which allow the capability of:
Making sound decisions
Responding to questions
Demonstrating intellectual capabilities

EXPERIENCE AND TRAINING GUIDELINES:

Any combination of experience and training that would likely provide the required knowledge and abilities is qualifying. A typical way to obtain the knowledge and abilities would be:

Minimum Experience:

High School Diploma
One year’s experience in a community college environment or similar business environment
Windows and Microsoft Office experience.
Google-Suite experience

Preferred Education/Training, Experience, Skills:

An Associates’ degree
Colleague experience preferred.

Applicants who have obtained their education outside of the US and its territories must have their academic degree(s) validated, at their own expense, by an outside credential evaluation service as equivalent to the Baccalaureate or Master’s degree conferred by a regionally accredited college or university in the United States.

This position may require some evening work.
