The Lansing Board of Water & Light has an opening for a Department Administrative Assistant, located in Lansing, MI.
Job Type: Full-Time
Starting Salary Range: $54,316. – $63,550.
Position Summary:
This position is responsible for providing administrative support to BWL Executive Staff to ensure an efficient office operation, and reports to the BWL Chief of Staff. Assigned duties include, but are not limited to, recordkeeping, data entry, report generation, office machine operation, filing, office supply procurement, and visitor and meeting room coordination.
Essential Functions:
Accesses and maintains highly sensitive confidential records, including employment and medical records.
Organizes and maintains personnel files.
Answers phone calls, giving information, taking messages, and routing calls as appropriate.
Opens, routes and responds to incoming mail.
Maintains calendars, coordinates conferences, meetings and schedules appointments.
Greets and welcomes visitors and escorts them to their destination.
Prepares meeting rooms, schedules and participates in departmental and intra-departmental meetings as appropriate.
Compiles and maintains lists, records, meeting minutes, and statistical and other reports.
Orders and distributes supplies; maintains and tracks inventory.
Operates office equipment such as photocopier, scanner, PC, and fax.
Proofreads records, documents, reports, and files.
Maintains and uses relevant software for data entry and retrieval.
Provides notary services.
Manages office documents while maintaining and supporting BWL document management program and records retention policy.
Conducts P-Card reconciliation and tracking.
Prepares check requests or executes SAP procedures to pay invoices.
Expected to comply with all BWL policies and work rules.
Predictable and reliable attendance.
Other duties as assigned by supervisor.
Job Specifications:
Required:
This position requires knowledge equivalent to that which normally would be acquired through an associate’s degree or equivalent in Business, English, Science or related discipline or equivalent work experience.
This position requires a minimum of one to three years of previous administrative experience.
Excellent oral and written communication skills.
Excellent time management skills and well-honed ability to prioritize work.
Computer skills including proficiency in Microsoft Office.
Notary Public within 30 days of hire.
Must pass standardized testing in basic clerical functions.
Must maintain confidentiality, punctuality, and attendance.
Must exhibit exemplary attention to detail.
Ability to effectively communicate in writing and orally with employees, management, other departments and outside agencies.
Ability to enter and retrieve data from computerized, typed and written sources.
This position will be on-site.

Must be able to remain in a stationary position for the majority of the working day. The person in this position needs to move about inside the office environment. Constantly operates a computer and other office equipment. Ability to adjust focus, especially due to concentration on a computer screen. Must communicate frequently with other departments and employees both verbally and in writing. May need to lift and carry up to 30 pounds and/or position the body to reach items on the floor/ below the knee level or reach above head. On occasion, may need to use stairs.
Constantly works in a temperature-controlled office environment.
Must successfully complete a background check, a substance screening and a physical (if applicable).
