Position Summary
The Senior Executive Assistant (SEA) is a self-motivated, versatile, organized, and detail-oriented professional who provides critical financial, human resources, and administrative support to the Company and its affiliates.
Key Responsibilities
Finance/Bookkeeping
Perform bookkeeping function and maintain/update books on daily basis.
Manage accounts payable and receivable, invoicing, and expense reconciliation.
Maintain accurate financial records and ledgers; reconcile bank and credit card statements for the Company and its affiliates.
Prepare monthly, quarterly, and year-end financial reports.
Collaborate with Company’s CPAs to ensure accuracy of financial reporting, tax filings, and ensure compliance with financial regulations.
Act as point person and lead on preparation of annual financial statement for CRA; assembles relevant information from Company’s officers as needed, follows up with CPAs as needed to timely advance the process to successful completion.
Monitor cash flow and support budgeting and forecasting efforts.
Use and maintain accounting systems (e.g., QuickBooks, Apex).
Perform other duties as assigned by Company management.
HR Support
Assist with onboarding and offboarding processes including new hire paperwork, background checks, and employee file setup.
Maintain and update employee records.
Support benefits administration and employee communications.
Coordinate performance review cycles and track training/compliance requirements.
Maintains working knowledge of Company’s employee handbook and assists with implementation and oversight of HR policies
Perform other duties as assigned by Company management.
Administrative Assistance
Manage executive calendars, schedule appointments, and coordinate travel arrangements.
Draft and proofread correspondence, reports, and presentations.
Track deadlines and follow up on outstanding items across departments.
Handle confidential documents and information with the highest level of discretion.
Organize internal meetings and support project tracking and reporting.
Liaise with vendors, customers, and internal teams on behalf of the executive team.
Perform other duties as assigned by Company management.
Qualifications (Strongly preferred)
3+ years of professional experience in bookkeeping and administrative support.
1–2 years of HR coordination or generalist experience strongly preferred.
Proficient in accounting software (e.g., QuickBooks), and Microsoft Office/Google Workspace.
Excellent organizational, multitasking, and communication skills.
Discreet, trustworthy, and able to handle sensitive financial and HR information.
Strong problem-solving skills and a proactive, can-do attitude.
Prior budgeting and cost cutting experience.
Physical Requirements
Required to stand; walk; bend; sit; use hands to finger, handle, or feel objects, use keyboard; reach with hands and arms; may occasionally come in direct contact with cannabis and/or cannabis derived products; balance; stoop, kneel, crouch or crawl. Employee may occasionally lift and/or move up to 50 pounds. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. Must be able to hear and respond to inquiries and requests. May be exposed to allergens and/or other compounds
Requirements
At least 21 years of age and authorized to work in the US
Must pass background check with no disqualifying infractions
Will be required to take a drug screen and results will be handled in accordance with state regulations and company policy
Must maintain compliance with state regulations and company policies at all times
Able to work overtime and weekends when requested
Must be able to maintain confidentiality of proprietary and sensitive information
Job Type: Full-time
Pay: $28.00 – $34.00 per hour
Expected hours: 40 per week
