Job Duties

Handle and route 150+ inbound calls daily with professionalism and efficiency
Operate a multi-line phone system and voicemail, ensuring timely responses and accurate message delivery
Use critical thinking and discretion to direct calls to the appropriate departments or team members
Welcome and assist visitors, creating a warm and professional first impression for clients and guests
Accurately take and relay messages, ensuring important communications are delivered promptly
Manage and maintain conference room calendars, coordinating scheduling needs across departments
Receive, sort, and distribute incoming mail and shipments efficiently
Provide general administrative support across departments, contributing to smooth daily operations
Ensure all relevant documents and records are kept up to date and well-organized

Education and Experience:

High school diploma or equivalent required; associate degree or higher preferred
Previous experience as a receptionist or Office Assistant is a plus
Experience in the financial services industry is highly desirable
Familiarity with multi-line phone systems preferred

Skills:

Excellent verbal and written communication abilities, with a strong focus on customer service
Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint
Strong organizational skills with a keen eye for accuracy and attention to detail
Effective multitasking capabilities and the ability to manage competing priorities
Comfortable using and managing a multi-line phone system
