- Organize and coordinate office administration and procedures to ensure organizational effectiveness, efficiency, and safety
- Handle a wide range of administrative and executive support tasks independently with little or no supervision
- Serve as the point of contact for maintenance, mailing, shipping, supplies, equipment, bills, and errands
- Organize and schedule meetings and appointments
- Partner with HR to maintain and update office policies as necessary
- Coordinate office operations and procedures
- Liaise with the IT department regarding office equipment
- Manage relationships with vendors, service providers, and landlords, ensuring timely invoicing and payments
- Negotiate contracts and pricing with office vendors, service providers, and lease agreements
- Provide general support to visitors
- Manage executives’ schedules, calendars, and appointments
- Oversee office services by organizing operations, managing correspondence, maintaining filing systems, reviewing supply requisitions, and assigning clerical tasks
- Develop and implement office policies, procedures, and standards to guide office operations
- Assign and supervise clerical, administrative, and secretarial tasks among office staff
- Prepare and manage the annual office budget, monitor expenditures, analyze variances, and implement corrective actions
- Develop and promote standards that enhance operational procedures
- Organize orientation and training for new staff members
- Ensure filing systems are maintained and up to date
- Maintain security, integrity, and confidentiality of data
