Since 2014, the Theodore Roosevelt Presidential Library Foundation (TRPLF) has been planning and building a new, ambitious kind of Presidential library and museum. Other Presidential libraries tell the story of a single individual, but the Theodore Roosevelt Presidential Library (TRPL) – being built more than a century after T.R.’s death – will do more than preserve history. The TRPL will be a people’s library, bringing Roosevelt’s values and relentless spirit to life at a critical time in our nation and world, while simultaneously championing the stories of all who “dare greatly, think boldly, care deeply, and live passionately.”

The library is currently being constructed in Medora, North Dakota, with a milestone planned for July 4, 2026 – America’s 250th anniversary. Participants at the TRPL will learn from – not just about – Roosevelt’s story, being transformed in the same stunning Badlands that served as the fulcrum in T.R.’s incredible life story.

Guided by the pillar principles of leadership, citizenship, and conservation, the Foundation has partnered with innovative partners to build an institution like no other. With plans to be the most sustainable Presidential library and campus ever, a revolutionary approach to interpretive design, and programming that will spread the library’s message into neighboring Theodore Roosevelt National Park and beyond across the globe, the opportunity to join a talented team in building and opening this institution is truly unique.

JOB POSTING – EXECUTIVE ASSISTANT & GOVERNANCE LIAISON (NEW YORK)

TRPLF is currently accepting applications for an Executive Assistant (EA) to support the TRPLF Chief Executive Officer (CEO), Board of Directors, organization, and teams. This position reports directly to the CEO and will ensure the smooth functioning of the executive office by providing a broad variety of administrative support that facilitates the CEO’s ability to effectively lead the organization. The EA will also provide communication and logistical support to the Board of Directors.

CORE KNOWLEDGE AND COMPETENCIES:

· Must possess excellent computer skills, including MS Office Suite (Word, Excel, PowerPoint, Teams, SharePoint). Must be a dependable, highly motivated, proactive individual with a ‘can-do’ attitude who can work under pressure while adhering to tight deadlines.

· An effective team player with a strong, service-minded work ethic, candidate must maintain the highest level of confidentiality, exceptional judgment, and diplomacy at all times.

· Demonstrated ability to work with minimal supervision. Must be detail-oriented with outstanding organizational ability to set priorities with ease and manage diverse projects and a large volume of detailed work simultaneously.

· Ability to work collaboratively and respectfully with a variety of people and groups and to represent the

TRPLF effectively.

JOB RESPONSIBILITIES INCLUDE:

Administrative Support of the Chief Executive Officer

· Serve as the primary point of contact for internal and external constituents on all matters pertaining to the CEO, including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect the CEO’s style and organization policy.

· Support the CEO in working with the Board of Directors including the Executive and Governance committees or other Board Committee Chairs including coordinating schedules and distributing meeting materials.

· Provide sophisticated calendar management for the CEO by prioritizing inquiries and requests while troubleshooting conflicts. Track and assure that all briefing and background materials are provided in a timely manner.

· Conduct and coordinate background research and analysis as needed for the CEO.

· Handle travel arrangements, including registration for conferences, hotel accommodations, air travel, and provide supporting materials for CEO’s travel.

· Assist with preparation for speaking engagements or presentations internally or externally.

· Generate and track correspondence on behalf of the CEO, maintain contact lists.

Management of the Executive Office

· Organize executive office meetings including scheduling, RSVP tracking and communications, venues, meals, and any ongoing follow-up.

· Take meeting notes or minutes as needed, follow up on tasks to keep work moving, schedule meetings accordingly.

· Create, edit, maintain meeting materials and presentations for all staff meetings.

· Coordinate telecommunications system & office equipment needs (conference room AV, teleconferencing, etc.) for meetings.

· Oversee department communication and file sharing tools such as OneDrive or MS Office 365.

· Serve as a resource for interpretation and application of standard department/corporate policies, procedures, guidelines, and practices.

· Create or improve upon systems and processes for ongoing, regularly occurring activities and tasks.

· Develop and foster relationships with external partners executive support staff.

· Maintain executive office files and document retention.

· Provide back-up support to other administrative roles.

· Manage other duties or projects as assigned.

Board Meeting Coordination and Facilitation

· Coordinate the Board of Director meetings, including communicating deadlines to staff, producing Board Materials, and managing distribution.

· Administer the electronic board portal and provide training and instruction to board members and staff as needed.

· Coordinate logistical support for Board meetings.

· Coordinate staff pre-meetings and post-board meeting debriefs to ensure continuous learning and improvement.

Foundation-wide meetings and events

· Manage team invitations, attend, and actively participate in team meetings.

· Participate in cross-functional work groups as appropriate.

EDUCATION AND EXPERIENCE:

· BA/BS in a related field and five (5) years of professional work experience in an executive support position. Experience with non-profit organizations is helpful.

BENEFITS

Full benefits include 403(b), medical insurance, dental insurance, vision insurance, life insurance, short-term and long-term disability, as well as 20 days of paid time off and 10 days of holidays. Salary ranges between $90,000 to $110,000 depending upon experience.
