The Office Manager and Executive Assistant Role

Qlik is looking for an Office Manager and Executive Assistant to the Country Manager, Japan to be part of Qlik’s Japan team. You will aid the Japan team in a variety of areas, as well as support the Country Manager, Japan.

Here’s How You’ll Be Making An Impact

  • Diary management of Country Manager and providing comprehensive office management support function, including reception desk and overall facility management tasks.
  • Handle office-related tasks such as security, front desk support, conference room set-up, office equipment maintenance, IT asset inventory lists, renovations, office purchasing and daily operational matters.
  • Managing and supporting legal and regulatory compliance matters, such as:
  • Coordinating annual employee health checkups
  • Organizing and operating the Health and Safety Committee
  • Be a certified Health and Safety Manager (Eisei Kanrisha) or willing to be certified
  • Conducting employee stress checks
  • Preparing and submitting legally required documents, such as the Article 36 Agreement and health- and stress check–related reports
  • Serve as the primary contact for payroll vendors, basic HR inquiries, facilities requests, vendor coordination, and facility purchases.
  • Manage senior employee travel bookings and maintain company assets, including seals, access cards, physical documents, and phone lists.
  • Coordinate employee onboarding and offboarding communications.
  • Act as liaison with Corporate IT / Help Desk as needed.
  • Enforce building access and fire safety policies to ensure a safe and secure work environment.
  • Provide operational and analytical support to the sales and senior management teams in Japan, including ad-hoc cross-functional support.
  • Provide administrative support to the sales team which can include processing expense reports, planning meetings or events, troubleshooting minor technical problems, and serving as a liaison between traveling sales representatives and staff based in home offices.
  • Event planning and execution, including diversity & inclusion and team building events.

We’re Looking For a Teammate With

  • Minimum 3 years’ experience in an office environment, preferably in office management, executive assistant, or sales support roles.
  • Experience supporting sales teams and managing executive calendars in a fast-paced environment.
  • Knowledge or experience in HR operations and compliance preferred.
  • Strong written and spoken English.
  • Proficient in MS Word, PowerPoint, and Excel; familiarity with Salesforce and other business systems is a plus.
  • Highly organized, detail-oriented, and able to prioritize effectively in a multi-tasking environment.
  • Strong interpersonal skills with the ability to work confidently across all levels and with external vendors.
  • Professional, adaptable, and discreet, with the ability to handle confidential information and reduce management workload.
