Life Coaching 4 Kids Center is a behavioral health outpatient treatment center dedicated to providing specialized mental health and wellness services to youth impacted by the juvenile justice system and their families. Our mission is to foster healing, personal growth, and resilience through evidence-based interventions and compassionate support.

Position Summary:
We are seeking a highly organized and proactive Office Manager to oversee daily administrative operations at our Sun City location before transitioning to our new office in Glendale in June. This role is essential in ensuring the smooth and efficient functioning of the office, supporting staff, and maintaining a welcoming environment for clients and families.

Key Responsibilities:

Manage front office operations, including greeting clients, answering calls, and responding to inquiries.

Oversee scheduling of client appointments, ensuring proper coordination between clients and providers.

Maintain client records and ensure compliance with confidentiality and HIPAA regulations.

Coordinate office logistics, including ordering supplies, managing office equipment, and handling facility-related issues.

Assist with HR functions such as onboarding new staff, maintaining employee records, and tracking attendance.

Support billing and insurance verification processes, working with providers and insurance companies as needed.

Facilitate communication between staff, clients, and external stakeholders.

Prepare reports, organize documentation, and assist with grant or compliance-related paperwork.

Monitor office expenses and budget, ensuring cost-effective operations.

Assist with planning and coordination of meetings, training sessions, and staff events.

Ensure adherence to all policies, procedures, and regulations relevant to behavioral health services.

Qualifications & Skills:

High school diploma or equivalent required;
Associate’s or Bachelor’s degree in Business Administration, Healthcare Administration, or a related field.

Minimum of 2 years of office management or administrative experience, preferably in a healthcare or behavioral health setting.

Strong organizational and time-management skills with the ability to multitask and prioritize.

Excellent communication and interpersonal skills, with a client-centered approach.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and office management software.

Familiarity with medical billing and insurance processes is a plus.

Ability to handle confidential and sensitive information with professionalism and discretion.

Detail-oriented, proactive, and capable of working independently and collaboratively.
