Overview:
We’re seeking a highly organized and detail-oriented Office Manager with strong bookkeeping skills to join our team. This is an administrative-heavy role ideal for someone who thrives on managing operations, ensuring compliance, and keeping financials in order. The ideal candidate is tech-savvy, self-motivated, and experienced in managing day-to-day office functions while supporting finance, HR, and vendor operations. Key Responsibilities:
Office & Administrative Management
Oversee daily office operations and serve as a central point of contact for internal and external stakeholders
Manage vendor relationships, including sourcing, contracting, and performance tracking
Support HR functions including onboarding and offboarding of employees via our HR system
Maintain and organize company records, digital files, and administrative systems
Bookkeeping & Financial Admin
Manage accounts payable and receivable using Bill.com and QuickBooks
Reconcile bank and credit card statements; track and categorize expenses
Assist with monthly and quarterly financial reporting and budget tracking
Generate reports and summaries as requested by leadership
Compliance & Reporting
Ensure ongoing compliance with state registration, business licenses, and other required filings
Monitor deadlines for compliance renewals and filings, proactively keeping leadership informed
Assist with audit preparation and document retrieval as needed
Qualifications:
5+ years of experience in office management and bookkeeping
Proficient in QuickBooks and Bill.com
Strong understanding of general accounting principles and expense tracking
Experience managing vendor contracts and HR system onboarding/offboarding
Comfortable navigating a variety of technology platforms and generating reports
Strong attention to detail, organizational skills, and follow-through
Excellent written and verbal communication skills
Familiarity with state compliance requirements for business entities
Preferred Qualifications:
Experience with HR platforms such as Gusto, Rippling, Justworks, or similar
Prior experience supporting a remote or hybrid team
Associate’s or Bachelor’s degree in Business Administration, Accounting, or a related field
