Duties and Responsibilities:
Answer phones in a timely and professional manner. Take information if a message needs to be relayed or assist/troubleshoot needs and create a service ticket.
Greet clients/visitors upon entry – assist, advise, or direct to the appropriate team member
Handle employee, client, and user information confidentiality
Monitor, maintain, and order equipment and supplies inventory
Maintain office filing and storage systems
Develop and maintain office forms and procedures documentation
Post vendor invoices and monitor for accuracy
Maintain employee training/certification records and skills grid
Process renewal authorizations and orders
Process incoming mail and inventory orders
Post client payments and prepare bank deposits, contact clients of missed payments
Type documents, prepare quotes and correspondences, fax/scan/copy documents
Maintain various calendars and schedules (client project, training, skills), vehicle log information
Enter client billing info, and distribute invoices when ready
Work related errands such as Post Office, banking, or pickup/deliveries
Support staff in assigned project-based work
Contribute to office newsletter and tech tips
Create travel arrangements and itineraries
Performing a wide range of support services to enable the efficient operation of all administrative functions of the office
Keep building and grounds clean and presentable
Attend and represent TTS at marketing events
Know the clients and services
recent and current ticket status prior to client visits
Know and understand what we are and what we do
Various other office duties and tasks
Knowledge, Skills, and Abilities:
Professionalism
Initiative and attention to detail, a must
Ability to work independently or as a team
Impeccable customer service skills
Knowledge of best practices in customer service and retention
Proficient with applicable software applications (Word, Excel, Sage, Outlook)
Strong written and verbal communication
Ability to maintain, create/prepare notes for data entry
Work Environment and Physical Demands:
Standard office environment in Winchester, VA. Travel to other client locations may be required.
Must have the ability to stand, sit, bend for long periods of time, and move and lift equipment up to 50 pounds.
The shift for this position is 8:00am-5:00pm Monday-Friday & every other Saturday morning. Occasional evenings and weekends may be required
