OFFICE MANAGER/EXECUTIVE ASSISTANT needed at one of our hedge fund clients!!! Full time onsite in Austin only. Base $100k – $125k plus bonus.

They are seeking a highly organized, proactive, and detail-oriented Office Manager / Executive Assistant to support their investment professionals and oversee the daily operations of their Austin office. This individual will be the face of the firm, ensuring the office runs seamlessly while providing executive and administrative support across the organization.
Responsibilities
Office Management
• Manage day-to-day office operations and maintain a professional, welcoming work environment.
• Coordinate office vendors, building management, maintenance, and service providers.
• Order and manage office supplies, equipment, and kitchen inventory.
• Organize office events, team lunches, offsites, and client meetings.
• Oversee conference room scheduling and office logistics.
Executive & Administrative Support
• Manage calendars, schedule meetings, and coordinate travel arrangements for senior leadership.
• Prepare expense reports and assist with invoice processing.
• Coordinate internal meetings and prepare meeting materials as needed.
• Screen calls, manage correspondence, and handle confidential information with discretion.
• Assist with document preparation, presentations, and reports.
Operations & Finance Support
• Assist with onboarding new employees and office setup.
• Coordinate with HR, IT, legal, and accounting partners on administrative matters.
• Maintain electronic and physical filing systems.
• Support compliance and document retention processes.
• Help manage corporate records and vendor contracts.
Client & Visitor Experience
• Welcome clients, investors, and guests.
• Coordinate meeting logistics, catering, and hospitality.
• Ensure conference rooms and common areas are presentation-ready.
Qualifications
• 5 – 10 years of experience in an office management, executive assistant, or administrative support role.
• Experience supporting executives in financial services, investment management, private equity, venture capital, or professional services is preferred.
• Exceptional organizational and multitasking abilities.
• Outstanding written and verbal communication skills.
• High level of professionalism, discretion, and integrity.
• Strong proficiency with Microsoft Office Suite, Google Workspace, and scheduling software.
• Ability to prioritize competing responsibilities in a fast-paced environment.
• Positive attitude with a hands-on, service-oriented mindset.
Preferred Qualifications
• Experience working in a hedge fund, asset management firm, family office, or investment firm.
• Familiarity with expense management and basic bookkeeping.
• Experience coordinating corporate events and travel.
• Bachelor’s degree preferred.
