The Role:

We are seeking a highly organized, detail-oriented, and proactive Office Manager and Personal Assistant to the CEO. You will be responsible for all administration, managing office policies and procedures, coordinating special projects, hosting clients and guests. This dual role is critical in supporting our CEO and managing the day-to-day operations of our London office. Please note, this position is based full-time in our Canary Wharf office, 5 days per week.

Key Responsibilities:

CEO Support:

Manage and coordinate the CEO’s calendar, ensuring efficient scheduling of meetings, appointments, and travel.

Arrange and coordinate all aspects of meetings, including board meetings, with the ability to prepare and distribute agendas and minutes as required.

Coordinate and arrange national and international travel for the CEO and other staff members, including flights, accommodations, and itineraries.

Handle confidential and non-routine information with the utmost discretion.

Office Management:

Manage the day-to-day operations of the London office, ensuring a smooth and efficient work environment.

Assist in day-to-day operations of the Leeds office.

Manage office supply inventory and liaise with vendors and service providers to maintain office equipment and manage contracts.

Onboard new starters, providing them with the necessary resources and orientation to integrate seamlessly into the company.

Arrange various social events for the team, fostering a positive and engaging company culture.

Administrative Support:

Assist with a variety of administrative tasks as needed to support the CEO and the broader team.

Act as the first point of contact for internal and external stakeholders, managing correspondence and queries.

Prepare reports, presentations, and briefs to assist the CEO in decision-making processes.
