The role

We are looking for an Office Experience Manager & PA to provide a consistent level of high-quality support to our CEO while making sure our employees have an amazing office experience. You will be part of our People Team and look after all our engagement initiatives, events and shape our evolvingcompany culture.

As the Office Experience Manager, you’ll be:

Responsible for creating a world-class experience for employees allowing them to focus on their roles as well as make connections while in the office.

Our social secretary:
The Office Experience Manager will plan, promote, coordinate, and lead on all aspects of events as needed, including decorations and setup.

Working with the People Team to support initiatives such as volunteering, employee resource group programs, andsustainability.

Coordinating our weekly all hands meeting sending out regular employee comms.

Managing the Office and Social budgets.

Overseeing beverage & snacks service, coordinating orders and setting up for breakfast, snacks, drinks etc.

Managing all office needs and being proactive about fulfilling them (including repairs, furniture upkeep) as well as liaising with our third party providers for cleaning, maintenance and security.

Keep us up to date with all H&S laws and ensure we are compliant. Run assessments, ensure we have the right number of First Aiders and Fire Wardens, record any office H&S incidents and action plan where appropriate.

As a PA, you’ll be:

Supporting our CEO with calendar management, inbox triage, meeting scheduling and arranging offsites/events and/or dinners.

Arranging travel (both national and international) including, flights, trains and hotels etc.

Handling sensitive information and conflicting situations in a professional manner.

On occasion, acting as the point of contact between the CEO andSenior LeadershipTeam or The Board ensuring that actions/updates are shared in a timely and efficient manner.

We’re looking for someone who:

Has relatable experience as either an Office Experience Manager or a PA looking to pivot into a hybrid role.

Is used to working in a fast-changingstart-up environmentwith all the ambiguities this presents:flexibilitywill be needed.

Enjoys creating and delivering regular social events to enhance Numan’s working culture, and being present in the office 5 days a week.

Is knowledgeable of health and safety laws, is used to maintain a record of incidents and created an action plan where appropriate.

Is used to and comfortable with handling sensitive personal and company confidential information.

Can remaincalm under pressure, juggle priorities and meet deadlines.

Has a proactive, positive and can-do attitude.
