The Executive Administrative Assistant plays a vital role in providing business and operational support to the Co-CEOs and Leadership Team. This role focuses on maximizing business efficiency by enhancing processes, managing communications, and coordinating operations.
Key responsibilities include calendar management, meeting and travel arrangements, expense reimbursements, and supporting team initiatives. The successful candidate will demonstrate exceptional organizational skills, keen attention to detail, and the ability to manage multiple priorities in a fast-paced environment. This role requires a high level of discretion, as the Executive Administrative Assistant will handle highly confidential and sensitive information with professionalism and sound judgment.

Experience:
7+ years as an Executive Assistant supporting senior leadership, with expertise in managing high-level operations.
Advanced proficiency in MS Office Suite (Word, Excel, PowerPoint), collaboration tools (e.g., Zoom, Teams), and process management systems. Experience with project management or workflow automation tools is a plus.
Experience working in a fast-paced, dynamic, or multinational environment preferred.
Education:
High school diploma or equivalent required. An associate or bachelor’s degree is preferred.
Job responsibilities
Maintain calendars, schedule meetings, and facilitate team interactions.
Arrange appointments and coordinate complex domestic and international travel plans.
Process reimbursements, handle follow-ups, and manage expense reporting.
Plan and organize meetings, including preparing agendas, and coordinating logistics.
Collaborate with global teams and adjust schedules to accommodate time zones, ensuring timely communication and response, even outside of standard business hours when required.
Support international travel arrangements and global meeting logistics
Assist with cross-functional team initiatives and programs, ensuring smooth execution.
Develop and refine presentations, reports, and other executive-level communication materials, ensuring accuracy and professionalism.
Collaborate on special projects and ensure timely completion of deliverables.
Oversee administrative tasks, including managing correspondence, maintaining files, and ordering office and catering supplies.
Ensure efficient day-to-day operations by liaising with staff, executives, and other teams.
Handle highly confidential information, including executive communications, business strategies, and organizational matters, with absolute discretion.
Utilize advanced technical skills to optimize workflows, troubleshoot administrative tools, and ensure seamless digital communication and document management.
