Position Title:Office Manager
Reports To:HR Director
Classification:Salary – 40 Hours a Week

The Office Manager provides support to the administrative staff needs, directs donors and guests to the appropriate area of Hope House Ministries to receive the necessary assistance.

Essential Duties and Responsibilities
-Develop a strong understanding of Hope House and its mission

-Manage systems to handle correspondence (i.e. email, phone, and mail)

-Manage scheduling requests for President/CEO, HR Director and Advocacy Assistance

-Manage resources and purchasing for facility needs, marketing and Community Store.

-Incorporate systems to manage daily administrative needs

-Assist HR Director and other administrative staff with daily tasks

-Assist in the management of volunteers (contact, set up orientation and complete Cognito Form status change)

-Assist in ordering company apparel and name tags

-Assist in updating and maintaining HR records and database

-Help in organizing, planning and setting up company events (holiday gatherings, team events)

-Assist in processing support staff payroll and documentation

-Assist the Director of Community Empowerment Coordinator when necessary (set up classrooms, call participants, coordinate meals, ensure supply needs are met, etc.)

-Tend to the needs of people calling and/or visiting Hope House in person, and direct them to the appropriate ministry area when necessary to receive assistance

-Facilitate data entry and administrative needs for third party volunteers from government based social agencies working at Hope House

-Assist with donor mailers

-And other responsibilities as assigned by the supervisor

Job Requirements:
-Demonstrate commitment to the mission and vision of Hope House, including the Hope House Philosophy of Ministry and Statement of Faith

-Commitment to maintaining high integrity, character, and transparency

-Strong time management and administrative skills

-Ability to multi-task schedules and responsibilities

-Qualities that create a calm and structured work and living environment

-The ability to delegate tasks to volunteers.

Demonstrated ability to:
-Equip and train volunteers in your department.

-Analyze complex problems and develop effective solutions.

-Effectively organize complex tasks and execute plans to completion.

-Maintain relations with community groups and other public and private agencies.

-Speak effectively and provide clear and concise written reports

-Organize; including but not limited to, planning, administration, and computer skills

-Perform well as a team member, taking direction and managing assigned tasks effectively and efficiently.

Education Qualifications:
-Bachelor’s Degree from an accredited institution or 2-3 years of experience in office management

-Relevant work experience with individuals in a non profit environment or related field preferred.

Language Skills:
-Ability to write reports, and volunteer and business correspondence

-Ability to read, analyze, and interpret various publications

-Ability to articulate the mission and ministries of Hope House

-Ability to effectively present information and respond to questions in relevance to the mission of Hope House

Computer Skills:
-Ability to work easily with Google Drive, MS Office, Pages, Spreadsheets, Charity Tracker, and any other software packages necessary for the role of office administ…
