We are seeking an Administrative Assistant to support our Executive, Accounting, and Corporate Services teams by managing firmwide administration and operations. This role ensures the smooth execution of daily processes, including scheduling, travel coordination, communications, data management, and reporting.

Key Responsibilities:

Proposals & Marketing:

Create, manage, and update internal and external marketing materials.

Assist in the development and coordination of proposals, ensuring deadlines and quality standards are met.

Research and compile data for proposal content and company documentation.

Ensure consistency with branding guidelines and client requirements in all materials.

Events & Social Media Management:

Manage external communications (social media and website).Assist with planning and coordinating corporate events,

team-building activities

, and company functions.

Liaise with vendors, manage event logistics, and track event budgets.

Develop and schedule social media content aligned with company branding and initiatives.

Engage with online audiences, monitor social media performance, and adjust strategies accordingly.

Maintain and update website content, ensuring accuracy and relevance.

Executive & Operations Support:

Manage high-volume calendars, coordinate meetings, prepare agendas, and document meeting minutes.

Arrange travel, accommodations, and itineraries for executives and staff.

Provide general office support, including

document management

, answering phones, and distributing mail.

Oversee office supplies, equipment, deliveries, and maintenance coordination.

Assist in financial tracking, invoice processing, and expense reconciliation.

Human Resources:

Assist in onboarding new employees, ensuring smooth integration into company processes.

Support

training and development

programs, including scheduling and certification tracking.

Assist in maintaining records for

employee recognition

programs and performance tracking.

Assist with recruitment including pre-screens, interviews, and reference checks

Qualifications &

Experience:

Experience in an Executive Assistant, Administrative, or related role.

Strong organizational,

multitasking

, and time-management skills.

Excellent written and verbal

communication

abilities.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Canva).Experience in the construction or related industries is an asset.
