DESCRIPTION

Idaho National Laboratory is hiring an Administrative Assistant to work in our Laboratory Director office. Responsibilities include assisting in the coordination of administrative projects or tasks; organizing and expediting the flow of duties through the office; performing time sensitive tasks and resolving issues to completion; monitoring projects or tasks by tracking actions, status, and schedules; establishing and maintaining effective working relationships with managers, peers, co-workers, and customers; ensuring collaboration and inclusion when providing administrative support; initiating and supporting actions that directly contribute to INL’s mission/strategy and understanding the administrative support role in achieving these objectives. Assignments will require some contribution of original work and the ability to prioritize tasks of higher relevance to the laboratory and INL’s mission/strategy to optimize the time of the leadership and management team.

Responsibilities include:

Provide administrative assistance to the Laboratory Directors Office (LDO) and reporting staff. Schedules and prepares for meetings and visits, assists in assembling background information and materials needed for meetings, presentations, work projects, and reports. Monitors status of action items, assignments, and deadlines to ensure timely completion. Ensures accuracy, completeness, and appropriateness of formal written materials prior to acquiring approvals. Works with the laboratory staff to ensure professional and coordinated administrative and programmatic deliverables. Works with the LDO’s executive assistants to ensure professional administrative standards across the organization and represent a professional and responsive image for INL.
Assists with office operations, including distribution lists, maintenance of calendars, office files, etc. Prepares for and completes necessary materials for meetings, conferences, visitors/customers, and tour logistics. Provide hospitality services to external customers or visitors, ensuring that INL’s protocol and procedures for national and foreign visitors and travel is observed.
Prepares travel authorizations and travel expense reports, emphasizing accuracy.
Compose and prepare routine and non-routine correspondence ensuring proper laboratory format is used and provide comments to ensure that a clear professional message is communicated, often requiring proofing for typographical accuracy, grammar, and content for letters, reports, graphs, charts, manuscripts, etc.
Procure supplies, equipment, and services. Process expenses and payment requests in a compliant manner while providing and maintain appropriate documents (i.e. ordering office supplies, publications, project materials, software/hardware, services, equipment, subcontracts, p-card purchases and reconciliation, etc.).
Maintain office records and files and ensure confidentiality and security of sensitive and controlled documents. Ensure confidentiality of administrative files and discussions and adhere to laboratory policies.
QUALIFICATIONS
MINIMUM REQUIREMENTS:

AS0200: HS Diploma and 2 years of relevant experience.

AS0300: HS Diploma and 4 years of relevant experience.

Proficiency in managing multiple schedules and organizing complex meetings internal and external, with

High competency using MS Word, PowerPoint, and Excel.

Ability to identify tasks or activities to further the INL mission.

Require excellent written and verbal communication skills and involve a high throughput of correspondence requiring proofing for typographical accuracy, grammar, and content for letters, reports, graphs, charts, and manuscripts.

Team player and the ability to take directions and proactively solve administrative issues in a professional manner with all employees, customers, and management in a cordial and professional manner.

AS0200 – 130 ($36,504 – $58,356) Or AS0300 – 150 ($45,156 – $72,228)
